Executive Assistant
Responsibilities
- Cook up travel plans, lodging, rental vehicles, and other logistical necessities for field service technicians to facilitate installations, warranty work, and customer service visits.
- Collaborate with project teams, shipping contacts, and transportation providers to ensure timely arrivals of equipment and prepare crews for successful on-site work.
- Set up technician shifts according to customer needs and service demands, making sure the right personnel are available when and where they're needed.
- Keep track of post-installation and field visit follow-ups, organizing next steps to ensure tasks are completed on time and communicated clearly.
- Issue service-related orders and coordinate parts support swiftly to prevent delays in customer service execution.
- Work harmoniously with subsidiaries, agents, and freelance service resources to enhance coverage and maintain a dependable support network.
- Boost paid service activity by assisting in efficient planning and responsive coordination for customer requests.
- Promote adherence to field service safety guidelines by reinforcing necessary policies and encouraging safe work practices.
- Organize updates and modifications in a practical, efficient manner to synchronize technician availability, customer timing, and operational priorities.
Requirements
- A minimum of 2 years of experience in an administrative, service coordination, or similar support role.
- Exceptional ability to manage schedules, travel arrangements, and multiple priorities in a fast-paced environment.
- Demonstrated organizational skills with meticulous attention to detail and follow-through.
- A customer-focused approach with the capability to communicate professionally across various teams and external contacts.
- Experience supporting meetings, calendars, facilities, or executive-level coordination is highly appreciated.
- Comfortable working with service teams, managing logistics, and handling time-sensitive requests.
- Spanish language skills are advantageous, though not mandatory.
Qualifications
