About the Role
We are seeking a highly organized and proactive Executive Assistant to support our CEO and executive team. This individual will serve as a critical partner in managing the CEO's daily operations, coordinating schedules across the executive team, and leading key programs including corporate travel and company-wide events. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and brings strong follow-through to every project.
Responsibilities
- Provide comprehensive administrative support to the CEO, including calendar management, correspondence, and daily prioritization
- Draft, format, and refine executive-level presentations, reports, and communications
- Prepare and submit CEO expense reports accurately and on time
- Help translate CEO priorities into clear action plans, tracking follow-up items to completion
- Organize and coordinate key CEO activities, projects, and initiatives
- Can operate with a level of discretion and ability to maintain confidentiality
- Manage appointment scheduling and calendar coordination for members of the executive team
- Resolve scheduling conflicts and proactively manage competing priorities
- Cook up and coordinate logistics for executive meetings, including agendas, materials, and follow-ups
- Own and lead the company's travel program end-to-end
- Book and manage complex domestic and international travel itineraries for the CEO and executive team
- Establish and maintain travel policies, preferred vendor relationships, and cost-management practices
- Troubleshoot travel issues in real time and adjust itineraries as needed
- Serve as the primary point of contact for assigned vendors supporting business operations
- Negotiate assigned contracts and manage vendor relationships to ensure quality service and cost efficiency
- Plan and execute key company events (e.g., all-hands meetings, offsites, board meetings, holiday events), managing logistics from concept through execution
Requirements
- 5+ years of experience as an Executive Assistant, ideally supporting a CEO or senior executive
- Exceptional organizational skills with strong attention to detail
- Strong PowerPoint skills; ability to build polished, executive-ready presentations
- Basic proficiency in Excel (data entry, simple formulas, formatting)
- Proven experience managing corporate travel programs and vendor relationships
- Strong written and verbal communication skills
- Able to handle confidential information with discretion and professionalism
- Skilled at creating action plans and driving initiatives to completion
- Experience planning and executing corporate events
- Able to work independently, prioritize competing demands, and adapt quickly to shifting priorities
