Essential Job Duties And Responsibilities

  • Provide high-level administrative and operational support to the HR Operations team and Senior Talent Development Director, ensuring smooth execution of day-to-day priorities and initiatives
  • Own advanced calendar management for HR Operations leadership and Senior Talent Development Director, coordinating complex, cross-functional meetings (HR, Finance, Ops, vendors), proactively resolving conflicts, securing resources, and ensuring seamless execution
  • Lead coordination of select workshops, working sessions, and leadership forums, including scheduling, logistics, attendee management, and real-time adjustments to ensure successful delivery
  • Manage Corpay processing, including submission of invoices and expense reports for approval, ensuring accuracy, compliance, and timely processing
  • Prepare and reconcile additional expense reports and invoices for the HR Operations team, maintaining accuracy and adherence to company guidelines
  • Coverage of team activities and events, including internal and external meetings, offsites, vendor visits, team building events, and celebrations
  • Serve as a responsive point of contact for the team, handling inquiries and routing requests with professionalism and urgency
  • Provide high-autonomy executive support, independently executing ad hoc requests across calendar management, communications, and logistics in a fast-paced environment
  • Potentially partner cross-functionally with internal teams to ensure alignment, communication flow, and operational efficiency
  • Auxiliary support for the preparation of presentations and materials, ensuring clarity, consistency, and executive-ready quality
  • Coordination of conferences and industry events, including logistics, materials preparation, and scheduling support

Education And Work Experience

  • Minimum of three years’ experience supporting an Executive
  • Tech savvy; Proficient in PowerPoint, Office, and MS Excel, Teams, Zoom, etc.
  • Bachelor's degree from a four-year college or university preferred
