Executive Assistant
About the role
Our customer has engaged us to identify a highly organized and proactive Executive Assistant to provide comprehensive high level administrative support to senior leadership. This is a fast-paced role where you will act as a trusted partner to several C-suite executives, ensuring seamless day-to-day operations and effective coordination across internal and external stakeholders. This is a contract position, with the possibility for full-time hire for the right person. This person will report to the Executive Assistant Manager.
Key Responsibilities
- Provide high-level administrative support to C-level executives and senior leaders; anticipate executive needs and proactively address conflicting priorities.
- Manage multiple complex calendars across global time zones, including prioritization and conflict resolution, without dropping details.
- Cook up detailed domestic and international travel arrangements.
- Handle expense reporting and invoice processing.
- Organize and support meetings, conferences, and leadership events from planning through execution; provide onsite support for leadership meetings and key events.
- Coordinate detailed domestic and international travel arrangements.
- Act as liaison between executives, internal teams, board members, and external partners.
- Collaborate with executive administrative teams to ensure alignment and coverage.
- Serve as a point of contact for office-related needs and escalate issues when necessary. Partner with vendors (e.g., facilities, security, cleaning, catering) to maintain smooth operations.
- Manage high-volume inboxes, multiple calendars, and maintain reliable and repeatable organized electronic filing systems.
Qualifications
- Ace an Associate's degree (or equivalent experience); bachelor's degree.
- Have 4+ years of experience supporting senior C-Suite executives in a global organization.
- Show advanced Microsoft Office experience (Outlook, PowerPoint, Excel, Word) and collaboration tools.
- Display expertise in managing complex scheduling, inboxes, and competing priorities.
- Show strong organizational skills with exceptional attention to detail.

Pay
The base salary range for this position, which is dependent upon experience, qualifications and skills, is estimated to be $37.50/hr-$50.00/hr.
Schedule
This is a contract position, with the possibility for full-time hire for the right person.
