The Senior Executive Administrative Assistant role is a full time in-office role responsible for supporting Senior Leaders of the firm. This includes all administration tasks, including managing calendars, appointments, correspondence, data management, tracking reports, expenses, and travel. Specific responsibilities can include client service administration, office equipment management, account maintenance and overall team support.

Responsibilities

  • Answer and route telephone calls. Monitors voicemail and inquiries through the website or social media, schedules initial and follow-up meetings and provides driving directions.
  • Maintain all office equipment and supplies.
  • Perform daily tasks and maintain duties as related to office activities and client meetings.
  • Update clients' files as instructed.
  • Assist Executives on daily activities such as meetings, phone conferences & scheduling.
  • Scan all new client documents.
  • Coordinate and arrange all business travel.
  • Coordinate newsletter and mass mailings as needed.
  • Maintain office calendar and prepare Conference Room for all meetings.
  • Be the Expert on Microsoft Office applications, and CRM systems.
  • Schedule and confirm appointments for existing clients.
  • Schedule and confirm vendor meetings and catering.
  • Serves as a liaison between the office, vendors and building management, coordinating a range of functions such as building access for staff, internet access, work equipment for new hires.
  • Assist with firm projects.

Requirements

  • Ability to maintain confidentiality and exercise discretion.
  • Proficiency in MS Outlook, MS Excel, MS Word and MS Power-point.
  • Ability to follow written and oral instructions.
  • Exhibit professional phone demeanor.
  • You must also possess good organizational skills, efficiency skills, and communication skills, both verbal and written.
  • Attention to detail.
  • Commitment to professionalism, accountability, customer focus, and teamwork.

Internal Application Policy

  • Internal applicants must be in good standing and have a minimum of 1 year of service with Kestra.
  • Internal applicants must also have a minimum of 1 year service in current role unless approved by EVP.
