Essential Functions
- Partners with the leader on task management, project coordination, executive calendar, correspondence, travel/expense management, response to inquiries and requests, board and meeting management, and support of system service line needs and priorities.
- Provides advanced support of a technical nature including remote meeting management, facilitation of presentations, management of multimedia needs both by the leader(s) and meeting support, as well as post-meeting support.
- Works as a competent member of the administrative team, willing to provide backup support when appropriate, and actively supports team goals and priorities.
- Pairs with their assigned leader(s) or designee and serves as a liaison with other internal and external stakeholders including local boards.
- Coordinates special projects and initiatives under the direction of the leader(s).
- Creates and modifies reports and presentations, tracks and influences performance metrics, and serves as a thought partner to their assigned leader(s).
- May supervise other administrative caregivers.
Required Qualifications
- Demonstrated experience supporting a director, multiple managers or functional area.
- Demonstrated ability to work efficiently and effectively without direct supervision.
- Demonstrated organizational and problem-solving skills with high attention to detail.
- Demonstrated experience managing calendars, correspondence, travel/expenses, remote and in-person meetings.
- Demonstrated interpersonal verbal and written communication skills including tact, spelling, punctuation, and grammar.
- Demonstrated ability to exercise sound judgement and professional behavior.
- Demonstrated proficient time management, ability to prioritize and flex work to align with business operational priorities.
- Demonstrated ability to manage conflicting priorities without loss of composure.
Preferred Qualifications
- Bachelor’s degree from an accredited institution.
- Experience working in a matrixed healthcare setting.
- Leadership experience (e.g., providing training to others on their job duties, coordinating the work of others, coordinating projects, acting as a team lead, and directly supervising others).
Physical Requirements
- Ongoing need for employee to see and read information, labels, documents, monitors, identify equipment and supplies, and be able to assess customer needs.
- Frequent interactions with providers, colleagues, customers, patients/clients and visitors that require employee to verbally communicate as well as hear and understand spoken information, needs, and issues quickly and accurately.
- Manual dexterity of hands and fingers to manipulate complex and delicate supplies and equipment with precision and accuracy. Includes frequent computer use for typing, accessing needed information, etc.
- For roles requiring driving: Expected to drive a vehicle which requires sitting, seeing and reading signs, traffic signals, and other vehicles.
