Executive Assistant
Key Responsibilities
- Provide proactive administrative support to both leaders, including calendar management, meeting coordination, travel arrangements, expense processing, and correspondence.
- Manage complex and frequently changing calendars, resolve scheduling conflicts, and prioritize meetings based on business needs and leadership direction.
- Prepare agendas, organize materials, coordinate logistics, capture action items, and follow up on deliverables for meetings and leadership forums.
- Draft, edit, and proofread emails, presentations, and other communications on behalf of the leaders as needed.
- Liaise with internal and external stakeholders across regions and functions to support effective communication and timely follow-through.
- Assist with coordination of transformation-related activities, including planning sessions, status updates, documentation, and tracking key actions.
- Handle sensitive and confidential information with discretion and professionalism.
- Identify opportunities to improve administrative processes, streamline workflows, and increase efficiency.
- Support leadership meetings, offsites, workshops, and special events, including venue coordination, materials, and logistics.
- Maintain organized records, manage shared files, and support general office and administrative needs as required.
Qualifications
- Proven experience supporting senior executives in a global or matrixed organization
- Strong organizational, time management, and prioritization skills
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and confidentiality
- Strong proficiency in Microsoft Office tools, especially Outlook, PowerPoint, Word, and Excel
- Demonstrated ability to build effective working relationships across levels and functions
Preferred Qualifications
- Experience supporting transformation, strategy, or change leadership teams
- Experience working in a global organization across multiple time zones
- Familiarity with project coordination or operational support in a corporate environment
- Ability to anticipate needs and operate with a high degree of initiative
Pay Range
The pay range for the role is $100,000-$125,000. The specific offer will depend on an applicant’s skills and other factors.
