Role Overview

We are seeking an experienced Executive Administrative Assistant to provide high-level administrative support to senior leaders. This role requires organizational skills, discretion, and the ability to manage competing priorities in a fast-paced environment. This individual will serve as a trusted partner to executive leadership by managing complex calendars, coordinating travel, preparing executive communications, and supporting strategic initiatives.

Key Responsibilities

  • Manage complex executive calendars, meetings, and scheduling priorities.
  • Coordinate travel arrangements, itineraries, and expense reporting.
  • Prepare, edit, and proofread executive correspondence, presentations, and reports.
  • Handle confidential and sensitive information with discretion.
  • Serve as a liaison between executives, internal teams, and external stakeholders.
  • Plan and coordinate executive meetings, events, and special projects.
  • Support project tracking and ensure timely completion of deliverables.
  • Utilize Microsoft Office and other business tools to support executive operations.

Required Qualifications

  • 3+ years of experience supporting General Manager, Director-level, or higher leadership.
  • Expert-level proficiency in Microsoft Outlook, including complex calendar management.
  • Experience coordinating executive travel and managing expense reporting.
  • Proficiency in Microsoft PowerPoint and Excel.
  • Strong executive written and verbal communication skills.
  • Demonstrated ability to manage confidential and sensitive information with discretion.
  • Strong organizational, prioritization, and multitasking skills.
  • Ability to work independently and exercise sound judgment in a fast-paced environment.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Communications, Management, Office Administration, or a related field.
  • Certified Administrative Professional (CAP) or Professional Administrative Certification of Excellence (PACE).
  • Project Management certification or project management fundamentals training.
  • Event Planning certification.

Schedule

The anticipated assignment schedule is 4 days on-site and 1 day remote, from 8am to 5pm. The candidate must be willing to work on-site 4 days a week.
