About the role
This is an Executive Assistant role supporting two or more Directors within the Global Growth Sales, Partners and Sales Go to Market organization in Amazon Ads. The EA will serve as the operational backbone for our leadership team — managing complex calendars, coordinating travel, driving team logistics, and ensuring leaders can focus on their highest-priority work.
Responsibilities
- Manage complex calendars and scheduling requirements, including coordinating all aspects of internal and external meetings across multiple locations and time zones
- Coordinate seamless domestic and international travel itineraries, including flights, hotels, ground transportation, and detailed agendas
- Process and submit expense reports accurately and in a timely manner
- Track and help drive completion of key deliverables, following up on action items
- Organize and execute team activities including staff meeting agendas, Town Hall meetings, off-sites, morale events, and social outings
- Cook up and execute event logistics including catering, accommodations, AV requirements, and presentation materials
- Manage team space planning, which may include office moves, and reconfigurations
- Partner closely with the leadership team, key business partners (Finance, HR, Recruiting), and other Executive Assistants across the organization
- Attend key team meetings, capture notes, and follow up on action items
- Identify opportunities to improve administrative processes and proactively flag issues before they escalate
- Handle a high volume of administrative tasks with accuracy, discretion, and a positive attitude
- Help leaders prioritize effectively
Qualifications
- 2+ years of professional or military experience
- Experience with executive level calendar management
- Experience with Microsoft Office products and applications
- Experience at Amazon
- Experience completing complex tasks quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround
- Experience managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel
- Experience handling confidential information and maintaining professionalism in dealing with senior executives
- Experience with domestic or international travel coordination
