Executive Assistant 2
About the role
The Executive Assistant is a strategic partner to the CTO, SVP of Industrial Electrical Infrastructure, and SVP of Network Infrastructure and their teams, driving seamless operations across calendars, travel, communications, and high-priority initiatives.
Responsibilities
- Manage complex executive calendars, including prioritizing meetings and resolving scheduling conflicts.
- Cook up seamless meeting execution, including AV setup, presentation collation and uploads, catering coordination, room setup, and visitor registration.
- Coordinate and support consultant forums throughout the year, including logistics, meeting planning, catering, travel coordination, presentation materials, and onsite support.
- Plan and execute special projects, trainings, and workshops with full ownership of deliverables and outcomes.
- Prioritize, track, and coordinate critical tasks to ensure deadlines, approvals, and organizational updates are completed efficiently.
- Act as a trusted executive partner, exercising sound judgment, professionalism, and initiative while collaborating with leadership, internal teams, and external stakeholders.
- Serve as the Policy & Procedure Documentation Coordinator, maintaining and organizing policies and procedures across the Business Units.
- Draft and manage correspondence, reports, presentations, and confidential materials with professionalism and discretion.
- Coordinate domestic and international travel arrangements, including itineraries, visas/passports, logistics, and expense reporting.
- Create and manage requisitions in Oracle Fusion to ensure timely processing and payment of invoices for the Business Units.
Requirements
Education: High school diploma required. University coursework or business training a plus.
Experience: 5-7 years working as an executive assistant, managing complex calendars, dealing with shifting priorities, and managing multiple executive teams. Experience with event planning and AI a plus.
Skills: Proficiency in Microsoft Outlook, including complex calendar management, as well as experience with Oracle Fusion, Document Management System, At Your Service and Workday. Strong organization, communication, attention to detail, and collaboration skills.
Qualifications
High school diploma required.

5-7 years working as an executive assistant, managing complex calendars, dealing with shifting priorities, and managing multiple executive teams.
Experience with event planning and AI a plus.

Compensation: The expected base pay range for this role is $35 - $40 an hour.
