Executive Administrative Business Partner, Research and Early Development
The Opportunity
Partner closely with leadership and business partners to deliver sophisticated administrative and operational support, ensuring alignment with key priorities
Proactively anticipate needs, identify issues, and implement solutions with limited guidance
Manage highly sensitive and confidential information with discretion and sound judgment
Build strong relationships with internal and external stakeholders, acting as a professional representative of the executive and organization
Serve as a thought partner to leadership, contributing insights on team engagement, operations, and effectiveness
Coordinate and support business operations, working cross-functionally to ensure alignment and execution of priorities
Plan and execute meetings, events, and initiatives, ensuring effective communication, preparation, and follow-through
Support recruitment and onboarding activities, including interview coordination, candidate communication, and new hire onboarding
Manage all administrative and compliance needs for interns and contractors, including timesheet approval, visa processing, and overall lab member compliance.
Act as a point of contact for team members, resolving administrative issues and supporting a positive team environment, as well as serving as backup support for absences
Manage complex travel arrangements and logistics with a high degree of accuracy and adaptability, as well serve as the primary point of contact for travel emergencies; ensure expense reports for travel are submitted in a timely manner
Handle shifting priorities and competing demands in a fast-paced environment, exercising strong prioritization and decision-making skills
Proactively identify and implement process improvements, leveraging advanced tools and systems, including AI-enabled technologies, to significantly increase operational efficiency.

Proven experience supporting senior leadership in a demanding, fast-paced setting

Proactive, resourceful, and solutions-oriented mindset with a focus on outcomes over tasks
Comfortable working across teams and functions, with an enterprise perspective and collaborative approach
Demonstrates flexibility and responsiveness to support time-sensitive and urgent business needs, including occasional support outside standard working hours.
Be primarily based in South San Francisco and work from the Genentech campus for a majority of the time. Flexibility working from home or during travel will be coordinated with the successful candidate’s manager.
Preferred Qualifications
Bachelor’s degree or equivalent experience preferred
Minimum of 7+ years of administrative support experience, including a minimum of 4+ years of experience supporting senior leadership
Proficiency with Google and Microsoft Suite applications; some experience with Concur preferred
Be eager to grow into the role and willing to take on new challenges, including managerial responsibilities.
Pay
The expected salary range for this position based on the primary location of California is $105,600 - $196,000. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law.
