Executive Administrative Assistant to the Chief Strategy Legal Affairs Officer

Primary Duties & Responsibilities

  • Manage the executive’s complex calendar, prioritizing competing demands and ensuring alignment with business priorities.
  • Cook up and coordinate domestic and international travel arrangements, itineraries, and logistics.
  • Prepare meeting agendas, briefing materials, presentations, and executive correspondence.
  • Screens and prioritizes incoming communications, requests, and meeting invitations.
  • Track key action items and follow-through on executive commitments.
  • Support the CSLA leadership team, including leaders across Legal, Marketing, Communications, Government Affairs, Strategy and Global Affairs.
  • Coordinate leadership team meetings, offsites, strategic planning sessions, and organizational reviews.
  • Manage meeting logistics, materials preparation, and follow-up actions.
  • Facilitate cross-functional communication and collaboration across the organization.
  • Aid in planning and execution of organizational initiatives and executive priorities.
  • Cook up internal and external stakeholder meetings and events.
  • Support budget administration, purchase requisitions, expense reporting, and vendor coordination.
  • Maintain confidentiality of highly sensitive business, legal, personnel, and strategic information.
  • Help manage organizational communications and executive engagement activities.

Administrative Excellence

  • Develop and maintain efficient administrative processes and systems.
  • Cook up executive office operations and special projects.
  • Partner with other executive assistants and administrative professionals across the company.
  • Identify opportunities to improve operational efficiency and organizational effectiveness.

Education & Experience

  • Bachelor’s degree or equivalent experience.
  • 8+ years of executive administrative experience supporting senior executives.
  • Experience supporting C-suite or executive leadership teams in a complex corporate environment.
  • Exceptional organizational, communication, and project management skills.
  • Demonstrated ability to manage highly confidential information with discretion.
  • Advanced proficiency with Microsoft Office, collaboration tools, and executive support technologies.
  • Ability to prioritize multiple competing demands in a fast-paced environment.

Preferred Experience

  • Supporting leaders in legal, corporate affairs, public affairs, communications, or related functions.
  • Experience working within a public company environment.
  • Experience coordinating global meetings, travel, and executive engagements.
  • Demonstrated ability to operate independently and anticipate executive needs.

Physical Requirements

  • Ability to work in a standard office environment and perform administrative duties for extended periods.
  • Prolonged periods of sitting and working on a computer, including frequent use of a keyboard, mouse, and telephone.
  • Ability to communicate effectively in person, by phone, and through virtual meeting platforms.
  • Occasional standing, walking, bending, and reaching to access office equipment, files, and meeting spaces.
  • Ability to lift, carry, and move office materials and supplies weighing up to 15 pounds.
  • Ability to travel occasionally between office locations or attend company meetings and events, as required.
