EXECUTIVE ADMINISTRATIVE ASSISTANT (FULL TIME)

About the role

Provide comprehensive administrative support to senior leadership, including calendar management, email correspondence, meeting coordination, and task tracking. This role enhances the Company's effectiveness and best serves clients and employees.

Responsibilities

  • Welcome guests and customers by greeting them in person or on the telephone; answering or directing inquiries.
  • Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Attend meetings in the executive's absence and deliver or receive messages on the executive's behalf.
  • Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Provide historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintain customer confidence and protect operations by keeping information confidential.
  • Prepare reports by collecting and analyzing information.
  • Complete projects by assigning work to clerical staff and following up on results.
  • Secure information by completing database backups.
  • Maintain and verify office supplies inventory.
  • Ensure operation of equipment by completing preventive maintenance requirements; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contribute to team effort by accomplishing related results as needed.
  • Perform other duties as assigned.

Requirements

  • Exceptional customer service skills.
  • Strong critical-thinking and problem-solving abilities.
  • Advanced proficiency with Microsoft Outlook, Excel, PowerPoint, and Word.
  • Ability to analyze and interpret data, create professional reports and presentations.
  • Manage leadership priorities and maintain organized action-item and manager task lists.
  • Candidates may be asked to provide samples of previous work demonstrating Microsoft Office capabilities.

Pay

$20.00 per hour to $23.00 per hour.

Schedule

Day shift, Monday-Friday.
