The Executive Administrative Assistant supports day-to-day operations by providing high-level administrative support to the leadership team while ensuring the smooth day-to-day operations of the office. This role serves as a key point of coordination across the organization, supporting leadership priorities, office administration, employee experience, and basic facilities management. The ideal candidate is professional, highly organized, thrives in a fast-paced environment, anticipates needs before they arise, takes ownership of tasks, and enjoys creating an efficient, welcoming workplace.
Essential Qualifications
- 3+ years of experience in an executive assistant, administrative assistant, office manager, or similar role
- Proficiency with Microsoft Office, including Excel and PowerPoint
- Business professionalism
- Ability to work with multiple levels of business professionals and clients
- Ability to discreetly manage sensitive, private information
- Exceptional organizational and time management skills
- Attention to detail
- Ability to manage multiple priorities
- Strong interpersonal, written and verbal communication across all levels of the organization
- Self-starter with a proactive, solutions-oriented mindset
- Ability to prioritize and gain alignment to priorities
- Positive attitude, strong work ethic, and comfortable performing a mix of executive support, office coordination, and hands-on operational tasks
Preferred Qualifications
- Bachelor's degree or equivalent combination of education and experience
- Knowledge of basic bookkeeping, expense management, or accounts payable processes
- Experience with task tracking programs (i.e. Harvest)
- Familiarity with project management software (i.e. Monday.com)
- Experience coordinating office facilities, vendors, building management, or workplace operations
- Experience planning company events, team meetings, or employee engagement activities
- Interest in improving processes and increasing organizational efficiency
Core Responsibilities of this Role:
- Executive Support:
- Provide administrative support to the executive leadership team, accurately and with timeliness
- Anticipate needs of management team to support them and the company for success
- Support special projects and tasks that contribute to the efficiency and effectiveness of the leadership team and align with company initiatives
- Support expense management tracking
- Manage travel and meeting arrangements
- Manage time tracking reporting
- Administrative Support:
- Cook up new hire paperwork, maintain up-to-date personnel information records, conduct E-Verify, manage technology distribution
- Occasionally assist with company-related errands and miscellaneous operational needs
- Record and track PTO for organization, maintain company calendar, and communicate with management
- Cook up office maintenance and facilities needs
- Support ad-hoc client support as requested with accuracy and timeliness
- Office Management:
- Manage office supplies, equipment, and vendor relationships
- Cook up incoming and outgoing mail, packages, and deliveries, ensure items are organized and properly stored
- Answer and appropriately direct phone calls, visitors, and general inquiries
- Cook up catering for team lunches and on-site meetings
- Ensure all workspaces, conference rooms, kitchens, and common areas are organized and functional
- Cook up with property management, maintenance vendors, and service providers to address facility-related issues
- Support workplace safety initiatives and maintain emergency preparedness supplies
- Assist with the care and well-being of office dogs, including occasional dog walking as needed

*Please note:
Base salary range for this role is $56,000 - $60,000 based upon experience. Annual bonus potential is up to 10% of base salary, based upon performance.
