About the role

Plans and carries out advanced, diversified, and confidential administrative functions in support of the COO, CMO, CNO, CQO, CFO, or AVP. This role requires broad and comprehensive clerical and secretarial experience, deep knowledge of organizational policies, and significant interaction with senior management and organizational data.

Responsibilities

  • Provides advanced administrative support requiring discretion, professional judgment, and knowledge of organization policies and practices.
  • Establishes and maintains strong relationships with employees, senior management, board members, medical staff, and external contacts.
  • Handles confidential meetings and correspondence with discretion.
  • Manages multiple priorities and tasks, organizing and expediting workflow for executives.
  • Provides work direction to other clerical personnel within the department.
  • Organizes meetings, including distributing materials, setting up audio/visual equipment, arranging refreshments or catering, and transcribing minutes.
  • Schedules and maintains calendars, appointments, meetings, and travel itineraries, including coordinating flights, hotels, and transportation.
  • Creates, prepares, coordinates, and maintains presentations, charts, graphs, databases, and spreadsheets.
  • Prepares, monitors, or assists with budgets and recommends processes to facilitate cost reduction.
  • Composes and types routine and non-routine correspondence, reports, special projects, and technical papers.
  • Conducts internet research, data collection, and analysis of information.
  • Coordinates special events.
  • Answers phone calls, routes callers, takes messages, and resolves routine and complex inquiries with discretion.
  • Responds to callers and visitors not requiring executive attention, utilizing professional judgment.
  • Maintains compliance with all Orlando Health policies and procedures.
  • Exercises initiative, judgment, and decision-making to achieve organizational goals.
  • Prioritizes workload to manage multiple tasks efficiently and completes assignments in a timely manner.
  • Enhances professional growth through participation in educational programs, literature, and workshops.

Requirements

  • Associate’s Degree or proof of completion within 12 months of hire date. Two years of prior customer service, administrative, or secretarial experience may substitute for the degree.
  • Five years of customer service, administrative, secretarial, or related experience.
  • Highly proficient in Microsoft Office-based products (Word, Excel, PowerPoint, Access).

Schedule

Monday–Friday, 8:00 AM–4:30 PM.
