About the role

The Events & Logistics Coordinator will provide organized, proactive support for daily events planning, operations, and departmental communication. This role acts as operational support to the Director of Events and Logistics, mastering internal event management systems, optimizing workflows, and ensuring seamless hospitality experiences for visiting groups and internal AJU events. The position requires excellent interpersonal skills, a detail-oriented and tech-savvy approach, and the ability to collaborate across departments.

Responsibilities

  • Master event management software, including entries, billing, and scheduling workflow; train and support staff on best practices.
  • Assist in converting, updating, and streamlining complex campus scheduling for multiple departments to ensure operational efficiency.
  • Oversee events by verifying pre-arrival set-up, greeting staff and guests, and assisting with event break-down.
  • Provide campus tours for prospective clients and operational coverage and hospitality for visiting groups.
  • Partner with leadership to audit and suggest improvements for file organization, creating a modern, secure, and accessible work environment.
  • Proactively reach out to clients to secure final schedules, signed paperwork, security lists, and other details.
  • Serve as a bridge between departments to facilitate communication, align goals, and keep teams informed, especially during planning changes.
  • Attend department meetings and actively contribute to process improvements.
  • Follow health and safety regulations to maintain a secure environment.

Requirements

  • Previous experience in event support or customer service preferred.
  • Ability to remain calm and professional under pressure.
  • High attention to detail and a sense of urgency.
  • Tech-savvy with strong communication skills.
  • Positive, professional, and service-oriented attitude.
  • Predictable and reliable attendance.
  • Valid driver’s license (operation of a company vehicle to transport between campus areas is required).
  • Authorization to work in the United States.
  • Ability to work evenings, weekends, and holidays.

Physical Requirements & Work Environment

  • Ability to stand for extended periods and perform repetitive tasks, such as event set-up assistance.
  • Capable of lifting, pushing, pulling, and carrying objects up to 25 lbs., such as catering supplies.
  • Occasional movement throughout campus and to off-site locations may be required.

Pay

This is a non-exempt, temporary part-time position with a pay range of $18.00 to $20.00 per hour.
