Responsibilities

  • Cook up key conference materials and schedules, like speaker bios, headshots, session details, and event setup needs.
  • Research and secure entertainment options for corporate programs, gather pricing proposals, and pitch recommendations.
  • Oversee branded event signage by getting vendor quotes, coordinating logo placements, and confirming production details.
  • Handle travel logistics, including group transportation and other event support services as required.
  • Manage multiple planning projects for events across the organization's national footprint.
  • Support the preparation for a large-scale corporate event by tracking details, deadlines, and deliverables related to speakers and programming.
  • Carry out administrative and project-based tasks independently, ensuring tasks from initial research to final execution are completed accurately.
  • Enter and maintain event-related information in internal registration and website content systems with high accuracy.
  • Provide on-site coordination support in Portage, Michigan, while also managing day-to-day planning activities in an office-based environment.

Requirements

  • Experience in administrative support, event coordination, executive support, or a similar detail-driven role.
  • Proven ability to handle a high volume of work, stay organized, and meet deadlines in a fast-paced setting.
  • Strong written and verbal communication skills, adept at working with vendors, internal stakeholders, and leadership.
  • Demonstrated skills in scheduling, calendar coordination, and managing multiple priorities without supervision.
  • Proficiency in using computer-based systems, including data entry and user-friendly content platforms.
  • Ability to research options, compare bids, and make practical recommendations based on business needs.
  • Availability to work on-site in Portage, Michigan for 30–40 hours per week, Monday through Friday.
  • A self-motivated approach capable of taking direction on new projects and moving them forward independently.

Qualifications

Pay

The pay range for this role is $40,000 to $60,000 annually.

Schedule

The schedule for this role is 30 to 40 hours per week, Monday through Friday, with on-site work in Portage, Michigan.
