Equipment Sourcing Specialist

Responsibilities

  • Identify and source equipment based on project requirements.
  • Develop and maintain a network of qualified vendors and equipment suppliers.
  • Evaluate equipment specifications to ensure alignment with technical and operational needs.
  • Create, review, reassign, and issue purchase orders for equipment rentals in accordance with company policies.
  • Serve as the primary point of contact for vendors throughout the equipment procurement process.
  • Source and develop purchase estimates for new equipment purchases as required.
  • Coordinate off-renting of equipment as required.
  • Work closely with operations, project managers, and onsite equipment teams on delivery of all equipment delivery and pickups and proactively address any delays.
  • Maintain agile tracking for detailed weekly updates regarding equipment, internal and external dependencies, status, and any risk factors.
  • Coordinate with the accounting department through Vista Viewpoint to approve outstanding rental equipment invoices and resolve any payment issues.
  • Track and maintain all equipment records for both owned and rental equipment in Vista and Fleetio.
  • Conduct Motor Vehicle Record (MVR) verification and continuous monitoring for all drivers to ensure safe driving standards are maintained.
  • Oversee vehicle ordering, upfitting, delivery, and lifecycle tracking, ensuring timely acquisition and replacement of fleet assets.
  • Conduct vendor meetings with 3rd party rental companies for upcoming projects needs.
  • Coordinate 3rd party freight for company-owned equipment.
  • Perform other duties, tasks, and responsibilities as assigned or as necessary to meet the needs of the organization and Equipment Department.

Requirements

  • Bachelor’s degree in Business Administration, Equipment, Supply Chain, or relevant field of study.
  • Minimum of 3 years of equipment management experience with an EPC Contractor.
  • Knowledge of “Vista Viewpoint” or similar ERP software is preferred.
  • Proficient with Microsoft Office (Word, Excel, Teams).
  • Field experience in supervising personnel and task delegation.
  • Ability to achieve project goals and timelines.
  • Proven analytical, mathematical, and problem-solving capabilities.
  • Knowledge of logistics, warehousing, equipment, and inventory management.
  • Excellent written and verbal communication skills.
