Equipment Parts Clerk

Key Responsibilities

• Sources and procures parts from multiple vendors
• Manages parts room inventory, ensuring proper stock levels and cost control
• Receives, inspects, and distributes incoming parts to mechanics and other departments
• Tracks and manages core returns to ensure vendor credits are received
• Maintains daily fuel inventory records

Purchasing & Administrative Duties

• Create purchase orders and process invoices with correct coding
• Resolve vendor invoice discrepancies
• Enter work requests and work orders into systems (Viewpoint / CMMS / Infield)
• Maintain accurate filing and documentation

Operational Support

• Afford support to Equipment Manager, Supervisor, and Shop Foreman as needed
• Coordinate timely delivery of parts for maintenance and repair
• Offload freight using forklift
• Support equipment team projects and ad hoc requests

Customer & Vendor Interaction

• Serve as point of contact for vendors and general public
• Answer phones and coordinate parts requests
• Build and maintain vendor relationships

Qualifications

• High School Diploma or GED required
• 2–5 years of related experience preferred
• Valid forklift certification required

Skills & Knowledge

• Strong computer skills (Microsoft Excel, Word, Windows)
• Familiarity with maintenance systems (CMMS, Viewpoint, etc.) preferred
• Strong organizational and problem-solving abilities
• Ability to communicate clearly and follow instructions

Work Requirements

• Ability to multitask and manage multiple parts requests simultaneously
• Maintain a clean and organized workspace
• Willingness to work weekends as needed
• Team-oriented mindset with flexibility to assist in other areas

Physical & Work Environment

• Frequent standing, walking, and computer use
• Occasional bending, kneeling, and lifting (up to 25 lbs occasionally)
• Exposure to:
• Moderate noise
• Moving equipment
• Outdoor elements (weather conditions occasionally)
