Equipment Parts Clerk
Key Responsibilities
- Sources and procures parts from multiple vendors
- Manages parts room inventory, ensuring proper stock levels and cost control
- Receives, inspects, and distributes incoming parts to mechanics and other departments
- Tracks and manages core returns to ensure vendor credits are received
- Maintains daily fuel inventory records
Purchasing & Administrative Duties
- Create purchase orders and process invoices with correct coding
- Resolve vendor invoice discrepancies
- Enter work requests and work orders into systems (Viewpoint / CMMS / Infield)
- Maintain accurate filing and documentation
Operational Support
- Afford support to Equipment Manager, Supervisor, and Shop Foreman as needed
- Coordinate timely delivery of parts for maintenance and repair
- Offload freight using forklift
- Support equipment team projects and ad hoc requests
Customer & Vendor Interaction
- Serve as point of contact for vendors and general public
- Answer phones and coordinate parts requests
- Build and maintain vendor relationships
Qualifications
- High School Diploma or GED required
- 2–5 years of related experience preferred
- Valid forklift certification required
Skills & Knowledge
- Strong computer skills (Microsoft Excel, Word, Windows)
- Familiarity with maintenance systems (CMMS, Viewpoint, etc.) preferred
- Strong organizational and problem-solving abilities
- Ability to communicate clearly and follow instructions
Work Requirements
- Ability to multitask and manage multiple parts requests simultaneously
- Maintain a clean and organized workspace
- Willingness to work weekends as needed
- Team-oriented mindset with flexibility to assist in other areas
Physical & Work Environment
- Frequent standing, walking, and computer use
- Occasional bending, kneeling, and lifting (up to 25 lbs occasionally)
- Exposure to:
- Moderate noise
- Moving equipment
- Outdoor elements (weather conditions occasionally)
