Entry Level Construction Project Coordinator
About the role
The Project Coordinator supports the Project Manager by gathering equipment, resources, and information to implement upcoming projects and maintain ongoing projects. This role focuses on document management, material procurement, active participation in project meetings, and ensuring that all project deadlines are met.
Responsibilities
- Support the Project Manager in planning, implementing, and maintaining upcoming and ongoing construction and fabrication projects.
- Monitor the overall progression of fabrication activities and ensure that work aligns with project schedules and milestones.
- Manage the flow of materials throughout the entire lifecycle of each project, from procurement through delivery and installation.
- Handle document management by organizing, updating, and storing all project-related paperwork and documentation.
- Ensure all necessary project materials, documents, and records are current, accurate, and properly filed.
- Participate in project meetings, coordinate meeting logistics, attend as needed, and document detailed meeting minutes and action items.
- Delegate and manage project correspondence by procuring and reviewing project proposals, memos, and meeting notes.
- Oversee project expenses, monitor budgets, and implement cost-effective measures to keep projects within financial targets.
- Manage procurement activities, including purchase orders, material tracking, and budgetary tracking of all construction materials.
- Maintain clear and effective communication and coordination with vendors, field personnel, and general contractors.
- Maintain team and project documentation, including project status reports and administrative maintenance of spreadsheets.
- Collect, organize, and analyze project data and documents, and accurately enter information into spreadsheets for tracking and reporting.
- Prepare and submit welding certifications and Material Certificates of Conformity (CoCs) as required for project compliance.
- Draft and process change orders, ensuring that scope, cost, and schedule impacts are properly documented and communicated.
- Coordinate and submit Requests for Information (RFIs) and ensure timely responses are documented and distributed.
- Support detailer-related verifications and ensure that fabrication drawings and documents are accurate and up to date.
- Use construction management software and tools, including Procore and Microsoft Office, to support project administration and documentation.
- Assist with construction administration tasks such as document control, construction contracts, and construction documents.
- Help ensure all deadlines for assigned projects are met by actively tracking progress and following up on outstanding items.
- Contribute to a collaborative team environment by communicating effectively, supporting colleagues, and helping resolve project issues.
Essential Skills
- Experience in construction, construction management, or commercial construction environments.
- Proficiency in Microsoft Excel, including the ability to build and maintain spreadsheets for tracking data and budgets.
- Proficiency in Microsoft Office for document creation, communication, and reporting.
- Experience with project coordination and project management activities.
- Experience with construction documents, document control, and construction administration.
- Ability to implement upcoming projects and maintain ongoing projects from an administrative and coordination standpoint.
- Strong communication and interpersonal skills with the ability to maintain strong working relationships with vendors, field personnel, and general contractors.
- Strong organizational and multi-tasking skills with the ability to manage multiple projects and priorities simultaneously.
- Excellent analytical and problem-solving abilities to address project issues and support decision-making.
- Team-management and leadership skills to support project teams and coordinate tasks effectively.
- Strong time management skills to effectively meet deadlines and manage competing priorities.
- Experience with change orders, RFIs, and purchase orders in a construction or fabrication setting.
- Ability to manage project-related paperwork and ensure all materials and documents are current, documented, and stored properly.
Qualifications
- Experience with Procore or similar construction management software.
- Experience in a steel fabrication or fabrication shop environment.
- Familiarity with welding certifications and Material Certificates of Conformity (CoCs).
- Experience with construction contracts and contract administration.
- Comfort working with data and performing basic analysis within spreadsheets.
- Ability to coordinate and document meetings, including taking accurate meeting minutes.
- Interest in growing within a construction or fabrication-focused company and developing a long-term career.
Pay and Benefits
The pay range for this position is $20.00 - $22.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment. This is a fully onsite position in Spring City, PA. This is a Contract to Hire position.
