Essential Duties and Responsibilities
- Provide administrative support to Entertainment Team including typing, photocopying, answering multiple phone lines, assisting visitors, payroll, and resolving a range of administrative tasks
- Prepare all correspondence, contracts, resumes, and maintain all documentation related to daily Entertainment Operations
- Prepare correspondence, payroll for stage and nightlife labor, ordering supplies, and maintain all Entertainment documentation related to department efficiencies
- Ensure client satisfaction and assist in achieving maximum profit for the hotel and Meeting and Events department
- Use personal computer to complete reports, invoices, computer billing, correspondence, etc. including working knowledge of Excel, Outlook, Word, Salesforce, Microsoft Office Programs, Stratton Warren purchasing software, Unifocus payroll program, and any additional programs instituted by the Company
- Assist with Unifocus admin
- Keep accurate tracking of Purchase Orders, labor expenses and prepare various reports as requested
- Admin department relations for HR, payroll, PAF and maintain training manuals and all client files
- Shared Entertainment drive management including but not limited to SOP's, Job descriptions, birthday/anniversaries, rewards and recognition
- Facility management for office supplies, IT & technology, safety and security
- Assist if needed with the box office manager
- Dedicated to meeting and/or exceeding the expectations and requirements of internal and external clients
- Ability to accurately add, subtract, multiply, and divide in all units of measure and calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
- Ability to interpret and follow through on a variety of instructions furnished in written, oral, diagram, or schedule form
- Assist and support The Executive Director in needed areas
- Consistently exhibit courteous, respectful, and appropriate communications and present information in a concise and understandable format
- Cooperate with others in the accomplishment of joint tasks and common objectives
- Contribute to a positive work environment, foster collaboration, and provide a tangible contribution
- Meet requirements of regular attendance to effectively complete job responsibilities in a timely manner
Knowledge, Skills, and Abilities
- Strong attention to detail and organization
- Interpersonal skills to deal effectively with business contacts and team members at all levels of the company
- Proficiency with Microsoft Office Suite
- Excellent written and verbal communication skills
- Ability of complex reading, writing, math, and task completion skills is required
- Clerical, compiling, coordination, analyzing, instructing, precision working, following instructions, influencing others, memorization, problem solving, independent judgment, and decision making
- Flexible working all shifts including holidays, nights, and weekend hours as business needs dictate
- Must be a minimum of 21 years of age
Education and Experience
- Diploma/GED required
- Minimum 2 years' administrative or clerical experience is required or any combination of education, training, or experience that provides the required knowledge, skills, and abilities
Physical Demands
- Constantly sitting, occasionally standing, walking, reaching overhead, and bending over during the duration of shift
- Must be able to push/pull 50lbs or less frequently
- Occasionally have repetitive use of both feet
- Constantly have repetitive use of dominant hand, occasional use of non-dominant hand, and constant light grasping motions
- Occasional use of firm/strong grasping motion
- Finger dexterity of both hands frequently required
- Constant use of vision abilities including distance, depth perception, field of vision, and color vision

Work Environment
- Work performed consistently indoors and occasionally outdoors, alone and frequently with and around others
- Face-to-face including verbal contact with others on extended shifts in possible confined areas around computer equipment, mechanical equipment, and other electrical devices

- Noise level usually moderate to loud
- May be exposed to extreme heat/cold, vibrations, slippery surfaces, high places, moving objects, fumes/odor and/or secondhand smoke
