Summary Of Position

The EHR System Administrator is responsible for the ongoing administration, configuration, and support of the Gavin Foundation’s Electronic Health Record (EHR) platforms. This role partners closely with clinical, compliance, and IT stakeholders to ensure the EHR supports real-world workflows, regulatory requirements, and high-quality care delivery.

PRIMARY RESPONSIBILITIES

  • Serve as the primary point of contact for EHR-related technical issues, providing timely troubleshooting and support for clinical and administrative users.
  • Manage the full user account lifecycle, including provisioning, modification, and deactivation of access during onboarding, role changes, and offboarding.
  • Collaborate with internal IT teams and EHR vendors to support system enhancements, upgrades, and new feature rollouts.
  • Develop and maintain a knowledge base of common issues, solutions, and system tips to reduce repetitive support requests and empower users.
  • Design and deliver role-appropriate training for new staff onboarding and for the introduction of new system features, updates, or workflow changes.
  • Conduct regular audits to ensure data accuracy, completeness, and standardization in accordance with internal standards and regulatory requirements.
  • Work actively with the Director of Compliance, clinical leadership, and other stakeholders to ensure EHR alignment with operational and regulatory needs.
  • Participate in interdisciplinary committees or task forces focused on quality improvement, patient safety, or technology adoption.

REQUIREMENTS

  • Bachelor’s degree in Health Information Management, Computer Science, Information Technology, or a related field; an equivalent combination of education and experience may be considered.
  • Valid Massachusetts driver’s license and ability to travel between program sites as needed.
  • Ability to successfully pass required Massachusetts CORI and drug screening processes.
  • Demonstrated understanding of and commitment to compliance with HIPAA, 42 CFR Part 2, and applicable healthcare regulations.
  • Candidates with lived experience are encouraged to apply; individuals in recovery must have a minimum of two (2) years of continuous sobriety.
  • Professional certifications such as CPHIMS or comparable credentials are strongly preferred.
  • Working knowledge of healthcare operations, clinical workflows, and medical terminology.
