About the Role

As a Staff Assistant, you will provide high-level administrative support to help ensure efficient daily operations. This role requires exceptional organization, attention to detail, and the ability to handle confidential information while supporting a dynamic entrepreneurial and investment-focused team.

Key Responsibilities

  • Coordinate and schedule meetings and events
  • Coordinate travel arrangements
  • Prepare travel and expense reimbursement reports
  • Order and direct catering
  • Answer and respond to incoming phone calls and emails
  • Work collaboratively with other administrative staff, providing back up support as needed
  • Assist in the preparation of complex reports, proposals, legal agreement and other documents requiring the compilation, analysis and evaluation of data
  • Review documents received for supervisor; check and compare with source documents and bring significant items, changes, errors or omissions to the attention of the supervisor
  • Perform reception duties to greet and direct office visitors
  • Order and stock office and breakroom supplies
  • Control and maintain electronic and/or hardcopy files of records, reports and correspondence required for reference and efficient office operations; maintain up-to-date procedures, directives and related records
  • Assist with human resources duties such as time tracking, recruiting, staff meetings/outings and performance review scheduling
  • As assigned, cross-train and assist in completing office operations duties, including but not limited to agreement entry, invoice payment, purchase order requests, website content maintenance, etc.

Qualifications

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in administrative support or a related business field. Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

  • Excellent organization, time management, and attention to detail
  • Ability to manage multiple priorities while maintaining accuracy
  • Experience working with databases and business systems
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint
  • Experience with Duke systems and processes is a plus

Pay

Annual base salary range: USD $21.20 to USD $31.24 per hour.
