Driver Services Supervisor

This role leads the daily operations of the Driver Services department by supervising two team members and overseeing key driver-focused programs. The Supervisor manages Owner Operator settlements, Over-the-Road (OTR) maintenance and repair processes, fuel card administration, Owner Operator benefits, ECM reporting, and the My Truck Program. The position promotes operational efficiency, ensures compliance with company policies and applicable regulations, and serves as a primary resource for drivers, vendors, and internal stakeholders. It also acts as the department lead in the absence of the Driver Services Manager to ensure continuity of operations.

Responsibilities

  • Supervise, train, coach, and support two Driver Services employees, providing daily guidance, workload management, and timely performance feedback.
  • Oversee all Owner Operator settlement functions, including processing settlement checks, managing direct deposits, issuing and billing EFS transactions, handling fuel billing, processing credit and debit requests, managing escrow accounting, reviewing edit lists and journals, and verifying 1099 audits.
  • Coordinate and review Over-the-Road (OTR) maintenance and repair activities, ensuring timely payment of repair expenses and accurate recovery of costs through damage recoveries and driver deductions.
  • Resolve operational issues in collaboration with Safety Service Leaders (SSLs), drivers, vendors, and Regional Vice Presidents (RVPs), escalating concerns when appropriate.
  • Promote Driver Services programs and support departmental initiatives that enhance driver satisfaction and improve operational efficiency.
  • Build and maintain strong working relationships with drivers, clients, vendors, and internal departments to support effective communication and service delivery.
  • Assist in administering and promoting Owner Operator benefit programs, including health insurance and savings programs.
  • Oversee the daily administration of the fuel card program and ensure accurate and timely processing of fuel invoices.
  • Coordinate Driver Services participation in Driver Orientation and onboarding activities to support a positive new driver experience.
  • Review recovery accounts and vendor month-end statements, promptly identify discrepancies, and reconcile them in a timely manner.
  • Compile ECM data, prepare accurate reports for senior management, and ensure timely submission of all required reporting.
  • Conduct twice-monthly reviews of terminated driver accounts and escrow balances, and coordinate the transfer of applicable funds to the Accounts Payable department.
  • Identify opportunities to improve departmental processes, workflows, and customer service, and support the implementation of process improvements.
  • Assist with maintaining departmental procedures and ensure adherence to company policies, procedures, and applicable regulations.
  • Serve as the acting department lead in the absence of the Driver Services Manager to maintain continuity of operations and decision-making.
  • Complete special projects and perform other duties as assigned to support the Driver Services department and broader organizational goals.

Requirements

  • High school diploma or equivalent required.
  • Minimum of three (3) years of supervisory experience, preferably in transportation, logistics, or a related field.
  • Demonstrated experience in customer service within an operations or support environment.
  • Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities effectively.
  • Proven leadership skills, including coaching, mentoring, and performance management of direct reports.
  • Strong problem-solving skills with the ability to analyze issues and implement practical solutions.
  • Excellent written and verbal communication skills, with the ability to interact effectively with drivers, internal teams, and external partners.
  • Strong interpersonal skills and the ability to build and maintain professional working relationships.
  • Proficiency in Microsoft Excel and working knowledge of Microsoft Office applications, including Word and Outlook.
  • High level of accuracy and attention to detail in financial, billing, and reporting activities.
  • Ability to use reporting tools and interpret reporting data to support decision-making.
  • Working knowledge of billing-related processes, month-end activities, and account reconciliation.
  • Familiarity with customer service principles and best practices in a support or operations setting.

Qualifications

  • Associate degree preferred in business, logistics, transportation, or a related field.
  • Experience in transportation, logistics, or a similar industry environment.
  • Experience with reporting services and reporting tools to compile and present operational data.
  • Exposure to Department of Transportation (DOT) requirements or transportation compliance environments.
  • Experience with fuel billing, fuel card programs, or related financial administration.
  • Background in month-end review and reconciliation of accounts, vendor statements, or recovery accounts.
  • Experience supporting or administering benefit programs such as health insurance or savings programs.
  • Ability to identify and implement process improvements to enhance efficiency and customer service.
  • Comfort working with multiple stakeholders, including drivers, vendors, and internal leadership.

Work Environment

This role is based onsite at corporate headquarters in an office environment. The Supervisor works in a professional setting that involves frequent interaction with drivers, internal departments, and external vendors via phone, email, and in-person meetings. The position relies on regular use of computers, Microsoft Office applications, and reporting tools to manage settlements, billing, reporting, and departmental processes. The work schedule typically follows standard business hours, with occasional flexibility as needed to support operational requirements and deadlines. The environment emphasizes collaboration, accuracy, and customer service while supporting continuous improvement in departmental workflows and driver-facing programs.

Pay

The pay range for this position is $26.44 - $26.44/hr.
