About the role

The DOT Prequalification Specialist will play a crucial role in supporting business development and strategic growth by preparing, submitting, and maintaining DOT prequalification applications across multiple East Region states.

Responsibilities

  • Prepare, submit, and maintain DOT prequalification applications across multiple East Region states (e.g., WisDOT, INDOT, FDOT, VDOT, NCDOT, etc.).
  • Track renewal deadlines and proactively coordinate updates to prevent lapses in prequalification status.
  • Research, compile, and verify required documentation, including staff resumes, project experience, and financial information.
  • Collaborate with technical staff and project managers to help ensure accurate representation of company information, including staffing and legal registration requirements.
  • Maintain and update internal databases of project experience, staff classifications, and resumes aligned with DOT categories.
  • Interpret DOT requirements, guidelines, and changes to prequalification criteria, advising internal teams accordingly.
  • Audit or assist with requests for additional information from DOTs.
  • Identify opportunities to expand firm prequalification categories and geographic reach.
  • Track submittal and renewal information in the SharePoint calendar.

Requirements

  • High school diploma required; associate or bachelor’s degree preferred.
  • Previous experience in administrative/technical support in the AEC industry.
  • Familiarity with DOT systems and requirements, particularly in SEH's East Region or multi-state environments.
  • Strong organizational skills with the ability to manage multiple deadlines simultaneously.
  • Excellent written and verbal communication skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite.
  • Ability to interpret technical information and translate it into compliant documentation.
  • Part-time schedule of 20 hours per week.

Qualifications

  • High school diploma required; associate or bachelor’s degree preferred.
  • Previous experience in DOT prequalification, coordinating teams, or related administrative/technical support in the AEC industry.
  • Experience working with multiple state DOT prequalification systems.
  • Familiarity with financial documentation requirements for prequalification (e.g., audits, overhead rates).
  • Office-based, hybrid, or remote work environment.
  • Regular coordination with project managers and administrative staff.
  • Deadlines aligned with DOT submittal and renewal cycles.

Benefits
