Document Control Specialist
Hayden Industrial, a leading manufacturer of industrial cooling systems, is seeking a detail-oriented professional to manage and maintain the organization’s Document Control System.
Responsibilities
- Administer the organization's Document Control System.
- Create, revise, issue, archive, and retire controlled documents.
- Ensure only current approved revisions are available for use.
- Maintain document numbering conventions and naming standards.
- Control revision history and change records.
- Manage document retention according to company policy.
- Support Internal Audit activities.
- Handle Material Test Report (MTR) and Return Goods Authorization (RGA) related activities.
Qualifications
- Associate’s degree or Bachelor’s degree in Quality, Business Administration, Engineering, Manufacturing, or a related field preferred.
- 2+ years of document control, quality assurance, records management, or related experience in a manufacturing environment.
- Working knowledge of document control systems, revision management, and document retention practices.
- Familiarity with ISO 9001 requirements and controlled document processes preferred.
- Experience creating, revising, issuing, archiving, and maintaining controlled documents.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook); experience with document management systems is a plus.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Excellent communication, problem-solving, and cross-functional collaboration skills.
- Ability to manage multiple priorities while maintaining compliance with company, customer, and regulatory requirements.
Work Environment
This position primarily operates in a professional office environment and routinely uses standard office equipment, including computers, scanners, copiers, and document management systems. The role requires close collaboration with Quality, Engineering, Manufacturing, and other departments to maintain and manage controlled documentation.
When entering the manufacturing facility, employees are required to wear appropriate personal protective equipment (PPE), including hearing protection, safety glasses with side shields, and OSHA-compliant safety boots/shoes. The role may require periodic visits to production areas to verify document usage, support audits, or coordinate document changes.
Physical Demands
- Frequently remain stationary for extended periods while reviewing, creating, updating, and maintaining electronic and hard-copy documentation.
- Regularly operate a computer, scanner, copier, and other office equipment.
- Occasional movement throughout office and production areas to access files, distribute controlled documents, support audits, and collaborate with cross-functional teams.
- May occasionally lift, carry, or move files, records, boxes, or other materials weighing up to 25 pounds.
- Occasional visits to the manufacturing floor, which is a non-temperature-controlled environment and may include exposure to loud noises, dust, dirt, and metal particles commonly associated with metal fabrication operations.
Schedule
This is a full-time position. Days and hours of work are Monday through Friday, 7:00 a.m. to 4:00 p.m. Occasional evening and weekend work may be required as job duties demand.
