About the role
The Document Control Specialist acts as a liaison between the Engineering and Manufacturing teams, responsible for controlling the numbering, filing, sorting, and retrieval of electronically stored or hard copy documentation (engineering drawings, project reports, specifications, product proposals, etc.) produced by technical teams, projects, or departments in a timely, accurate, and efficient manner.
Responsibilities
- Set up and maintain documents, parts, and products in the AGILE system.
- Assign item numbers as requested for purchased components such as packing, inserts, etc.
- Assign item numbers as requested for resin, dyes, and blends.
- Assign item numbers as requested for new make items, subassemblies, and assemblies.
- Assign new tool numbers as requested and add new tool info to the Part Information System.
- Utilize Smartloader for mass updates in Oracle (e.g., Fixed Day Supply changes).
- Set up and maintain part numbers and their parameters (UM, LT, Cost, etc.) in Oracle.
- Create BOMs, part numbers, assembly numbers, including setting up item attributes such as lead time, labor time, and test times.
- Create and maintain routings by entering routing information into Oracle.
- Review and scrutinize component parts and BOMs against existing AGILE/Oracle to prevent part number duplication and perform updates.
- Transfer documents, parts, and products from legacy systems to AGILE and Oracle as needed.
- Initiate engineering change orders (ECO) and manage their routing, ensuring timely review and implementation.
- Implement document, material master, and BOM updates and changes based on ECO instructions.
- Review and maintain various documents such as drawings, manufacturing specifications, and procedures to ensure compliance with all regulatory documentation standards.
- Collect and maintain files of the latest revision level documentation necessary to define product configuration and control manufacturing processes.
- Ensure database integrity by adhering to number formatting, including RoHS revision, customer codes, and product revisions.
- Review approved documents for accurate format and signatures.
- Collaborate with cross-functional teams to create and produce documents that reflect departmental and company-wide processes and conform to electronic documentation system requirements.
- Ensure all Document Control systems are appropriately maintained and up-to-date; perform periodic audits of Document Control systems, both electronic and paper.
Requirements
- High School Diploma or equivalent.
- Knowledge of design and production implementation is a plus.
- 2-4 years of related experience.
- Knowledge of AGILE and Oracle is preferred.
- Must be able to communicate effectively in both written and spoken English.
- Must be able to work overtime when needed.
