Document Control Administrator (North Texas) - Austin Commercial
About the role
Austin Commercial is seeking a Document Control Administrator for a multi-billion dollar project in North Texas. This role involves managing all documents during the pursuit, preconstruction, and construction phases of large commercial construction projects, developing document control procedures, and training employee-owners to manage the document control process.
Responsibilities
- Develops and administers all record keeping, including written and electronic correspondence, safety and quality reporting, and ensures proper posting to Bluebeam.
- Responsible for document distribution internally and to owners, designers, material suppliers, subcontractors, and sub-consultants.
- Inserts RFIs, document revisions, etc., into contract documents and distributes notifications for updated documents to the internal team and subcontract partners.
- Produces the Permit drawing log, distributes bid packages, receives packages for electronic filing, logs all RFIs (and answers), and distributes them as addenda to bid participants.
- Distributes award notifications.
- Trains new and existing staff in the usage of document control programs.
- Develops and audits the file system for consistency in naming conventions and file locations.
- Assists the project team in document searches.
- Provides document control training, including procedures, policies, and software.
- Assists with project document control startup and implementation.
- Assists with project closeout, assembly, and organization of as-built documents, and file transfer to the owner and archives.
Requirements
- A minimum of four (4) years’ progressive document control experience on commercial construction projects.
- Intermediate proficiency in Microsoft Word and Excel.
- Experience in project management software (e.g., Newforma, Aconex) preferred.
- Demonstrates high-volume production in a fast-paced environment.
- Strong attention to detail in work product.
- Strong organizational abilities.
- Must be legally authorized to work for ANY employer in the United States; Austin is unable to sponsor or take over sponsorship of an employment visa for this position.
