Division Administrator 4, Medicine: Gastroenterology
Job Summary
The Division Administrator (DA) supports the Division of Gastroenterology and Hepatology within the Feinberg School of Medicine. This position is responsible for developing strategic administrative initiatives, managing budgets, overseeing operational and financial functions, and representing the business area on internal and external matters.
Specific Responsibilities
Budget & Financial Plans: Manage complex budgets, prepare annual budgets, and oversee budget reconciliation. Negotiate with vendors for purchases and leases.
Clinical Services: Plan and manage practice administrative functions, ensure appropriate staffing, and implement clinical standards and policies.
Communications & Outreach: Pursue alumni contact and solicitation opportunities, manage alumni lists and databases, and produce newsletters and special events.
Facilities & Safety: Manage office and lab spaces, negotiate leases, and oversee facility maintenance and safety.
Faculty Support: Provide strategic recommendations for faculty appointments and support, manage faculty administrative tasks, and oversee performance excellence plans.
Grants & Contracts: Manage research administration, build relationships with Principal Investigators, and ensure compliance with grant processes.
Human Resources: Determine organizational structures, manage recruitment and selection processes, and administer performance evaluations and conflict of interest surveys.
IT Services: Ensure technology systems are available and appropriate for meeting objectives, and direct activities of a small technology staff.
Regulatory Compliance: Oversee development and implementation of safety, security, and compliance programs, and ensure compliance with relevant laws and regulations.
Strategic Planning: Create and implement strategic plans to maximize opportunities and minimize threats, and evaluate plans to maximize faculty recruitments, program development, and research expansion.
Student Support: Develop strategies for student support, organize new student weeks, and resolve administrative issues for both graduate and undergraduate students.
Minimum Qualifications
- A full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree in a major such as business, accounting, or related field.
- At least 8 years of administrative experience in areas like budgets, finance, grants, facilities, or human resources.
