Principal Duties & Responsibilities

  • Design, direct, and monitor the work of direct reports.
  • Provide training and periodic performance reviews, as well as mentorship.
  • Manage the out-sourced team to accuracy and efficiency standards and provide feedback on performance their supervisors.
  • Provide direct management or oversight to all areas of the department: Payroll Processing, Garnishment, Payroll Taxes and Unemployment.
  • Oversee the administration of payment of wages, bonuses, equity compensation, severance, and any other company benefit payment.
  • Ensure full compliance of payroll processes and procedures with all federal, state, and local regulations.
  • Ensure all year end processing (W-2’s etc.) is completed in a timely and accurate manner.
  • Review accruals and reconciliations to the general ledger. Ensure accurate costing to the general ledger is processed weekly by identifying and resolving payroll discrepancies.
  • Participate in monthly account reconciliation meetings with Accounting and the Controller.
  • Partner with VP, Controller to improve processes to ensure cost-effectiveness and best use of skills for the Payroll Department.
  • Keep abreast of tax law and regulatory changes, including federal, state, and local minimum wage increases (and notify business partners of these changes; HR, Store Ops, etc.).
  • Develop and execute Standard Operating Procedures for the programs and systems relating to Payroll.
  • Review and analyze procedures, identify areas for improvement and develop and implement standardizations.
  • Cook up coordination with HR and IT to manage the operations and workload of processes on our system, and how they influence meeting our established deadlines.
  • Proactive in recommending and implementing changes by removing unnecessary roadblocks and resolving system obstacles.
  • Be the Subject Matter Expert on all Payroll processes and related systems, including those for unemployment and payroll taxes.
  • Manage periodic audits, projects, and processes.
  • Serve as the key system resource and provide guidance during all stages of any system related projects.
  • Perform testing of patches, upgrades, and improvements to Workday and any systems that touch Workday (Timekeeping).
  • Manage data/relationships with third-party vendors – responsible for pay cards, on-line pay stubs, W-2s and banking relationships regarding stop payment, direct deposit, etc.
  • Participate in the evaluation of payroll systems or products and make appropriate recommendations.
  • Direct timely and accurate communications to our team members via pay stub website, weekly.
  • Support Store Operations and HR with resolving escalated issues or those having an impact on a high volume of Team Members.
  • Direct and manage requests received from customers (example: Legal, HR, etc.) for payment or data needs.
  • Participate with business continuity/disaster recovery training.
  • Ensure SOX documentation for payroll processes are kept current. Be the key payroll SOX liaison with Internal Audit.
  • Develop reports as needed to support payroll and other internal customers.

Position Requirements

  • Office work environment, 40+ work hours per week.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Must exhibit strong analytical, decision making and problem solving skills.
  • Ability to prioritize and manage multiple assignments and meet tight deadlines.
  • Ability to guide team members through assigning/reviewing work and training.
  • Must be available to work during holidays, inclement weather, etc; Flexibility to relocate during a disaster if necessary (Payroll is a Category 1).

Minimum Requirements

  • Education: Four-year college degree or equivalent experience.
  • Experience: Ten (10) to Fifteen (15) years of Payroll experience; experience with a multi-state organization is a plus.
  • Job Related Skills: NA
  • Computer Skills: Three (3) to five (5) years of Workday experience is a plus.
