About the role
The University of Miami/UHealth Department of Medical Education has an exciting opportunity for a full-time Director, Business Operations to work in Miami, FL.
Responsibilities
- Directs, implements, coordinates, plans for and evaluates the business operations for the department/division, which may include statistical, performance and managerial reporting, decision and budget support, capital planning, and process improvement.
- Develops and ensures adherence to department’s annual budget, in accordance with University guidelines and policies.
- Participates in financial analysis and planning including monitoring and reporting on monthly budget variances and opportunities to improve performance.
- Advances strategic financial plan and makes recommendations to senior management on how to best execute the department’s plan.
- Formulates department policies and guidelines to carry out the University and department mission.
- Oversees the review, approval and reporting of all expenditures. Reviews and approves financial transactions.
- Creates and manages support systems to assure availability of cost effective supplies, equipment, and management information.
- Maintains contractual obligations and ensures consistency with departmental budget, goals, and programmatic initiatives.
- Evaluates existing internal controls and approval processes, and makes recommendations on how to improve fiscal integrity and operational efficiency.
- Implements department human resources actions, which may include hiring, terminations, salary etc.
- Recruits, trains, and prepares performance reports for staff.
- Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
- Ensures employees are trained on controls within the function and on University policy and procedures.
Department Specific Functions
- Serves as a key leadership position within the Office of Curriculum at the Miller School of Medicine, reporting to the Senior Associate Dean for Curriculum and the Executive Director of Medical Education.
- Responsible for the strategic leadership and operational oversight of the delivery, management, and continuous improvement of the MD curriculum, including budget management, resource allocation, personnel administration, and program operations.
- Led and directs curriculum systems, scheduling, delivery infrastructure, and cross-functional coordination across Curriculum Operations, Student Affairs, Faculty Affairs, and Information Technology to support a high-quality learner-centered educational experience.
- Partners with academic leadership to execute strategic priorities, ensure compliance with LCME accreditation standards University policies, and drive operational efficiency through data-informed decision-making and continuous process improvement.
Strategic & Operational Leadership
- Direct, plan, and evaluate the full scope of business and administrative operations supporting the MD and dual degree curriculum delivery, ensuring alignment with accreditation standards (LCME), learning objectives, Office of Curriculum priorities, and institutional policies.
- Provide strategic and operational leadership for curriculum-related initiatives, including educational technology, program delivery, and process improvement efforts.
- Partner with senior leadership and curriculum committees to translate academic priorities into operational plans, resource strategies, and measurable performance outcomes.
Program Administration & Delivery
- Oversee all day-to-day operational functions of curriculum delivery, including scheduling, reservations of educational spaces, curriculum event coordination, and program logistics.
- Establish and maintain operational systems to support curriculum infrastructure, including academic calendar management, academic bulletin updates, curriculum mapping, and CIM system oversight.
- Support the availability and optimization of operational resources, including educational technology systems in collaboration with Academic IT, to enhance teaching and learning environments.
- Oversee curriculum-related events, including annual retreats and academic ceremonies, ensuring operational excellence and alignment with institutional goals.
- Lead all aspects of NBME and in-person exam proctoring as Chief Proctor, providing oversight of exam operations, guiding proctor teams, and ensuring consistent application of policies to maintain academic integrity.
Financial Management & Resource Stewardship
- Develop, implement, and monitor the Office of Curriculum’s annual operating budget in accordance with University policies, ensuring fiscal stewardship, transparency, and alignment with institutional and programmatic priorities.
- Oversee allocation and utilization of financial, personnel, and technology resources to ensure operational efficiency and alignment with programmatic goals.
- Review and approve expenditures, ensuring fiscal responsibility, adherence to internal controls, and alignment with strategic priorities.
- Provide informed recommendations to leadership on budget planning and resource allocation based on current operational needs, program priorities, and upcoming curriculum initiatives.
Process Improvement & Performance Management
- Lead continuous process improvement initiatives across curriculum operations, leveraging data, stakeholder feedback, and performance metrics to enhance efficiency and effectiveness.
- Develop and monitor operational dashboards and key performance indicators, including tracking of curriculum outcomes, academic achievements, and program performance.
- Evaluate internal processes and controls and implement improvements to strengthen operational efficiency and fiscal integrity.
Compliance, Accreditation & Risk Management
- Ensure compliance with accreditation standards (e.g., LCME), regulatory requirements, and University policies through effective operational oversight and reporting.
- Partner with academic leadership to support accreditation activities, including preparation of reports and documentation related to curriculum operations.
- Responsible for contractual and affiliation agreements related to curriculum delivery to ensure alignment with institutional requirements and budgetary constraints.
- Establish and assess internal controls to mitigate operational and compliance risks.
Human Resources & Team Leadership
- Direct personnel administration for the Office of Curriculum, including organizational structure, staffing models, recruitment, onboarding, and retention strategies.
- Supervise and develop staff across all curriculum phases and programs, providing coaching, performance management, and professional development opportunities.
- Drive accountability and engagement across the curriculum team by ensuring staff participation in all Medical Education student events and key institutional initiatives, fostering a culture of service, visibility, and collaboration.
Stakeholder Engagement & Communication
- Serve as a key liaison with faculty, academic leadership, and administrative units to ensure coordinated curriculum operations and program execution.
- Lead cross-functional collaboration with internal partners (e.g., Admissions, Student Affairs, IT, and affiliated sites) to support integrated program delivery.
- Oversee development of operational reports, presentations, and communications to inform leadership of decision-making and stakeholder engagement.
