About the role

The Digital/Editorial Operations Specialist supports the Digital/Editorial Operations team by providing technical, editorial, and administrative assistance. Key responsibilities include maintaining metadata standards, refining product attributes, and managing administrative tasks.

Responsibilities

  • Aid the Sr. Manager with database and metadata management.
  • Handle daily metadata change requests, update TMM, and send confirmation emails.
  • Troubleshoot and resolve metadata and feed issues.
  • Execute metadata feeds and act as a liaison with the distributor.
  • Review metadata monthly to ensure accuracy and quality.
  • Act as TMM and metadata backup when needed.
  • Manage metadata for at least one PRPG imprint.
  • Prepare metadata for the S&S sales meeting.
  • Run tip sheets for licensors, receive approvals, and lift NFOs.
  • Troubleshoot issues at retail.
  • Collaborate with cross-functional teams to ensure accurate and optimized online listings.
  • Optimize description copy, taglines, BISACs, and keywords using AI tools.
  • Assist with upcoming e-commerce initiatives.
  • Manage PRPG Search Inside uploads for Amazon.
  • Manage metadata art uploads, including trade cover mocks, final covers/interiors for trade, Walmart/Target uploads, the RDS library, and others as needed.
  • Audit and maintain the RDS library, including updating cover mocks seasonally and as needed.
  • Enter and manage metadata for proprietary titles in TMM to facilitate F&O set up and integration.
  • Enter co-edition data into TMM.
  • Assist with eBook conversion and publication process.
  • Select, file, and track Lexile measures seasonally and update TMM accordingly.
  • Attend art and touch base meetings.
  • Respond to reader mail.
  • Perform other duties as assigned, directed, or requested.

Requirements

  • Bachelor’s degree in English, Journalism, Communications, or a related field.
  • Minimum of five (5) years of publishing or metadata experience.
  • One (1) year of experience with Firebrand’s Title Management (TMM) system.
  • Experience with books and editorial procedures.
  • Experience using AI tools to optimize metadata and maximize discoverability.
  • Experience with Macintosh and InDesign.
  • Excellent editing, writing, proofreading, and communication skills.
  • Strong project management, time management, and organizational skills.
  • Efficient at multitasking and handling multiple projects within tight deadlines with minimal supervision.
  • Strong to advanced experience in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Excellent communication skills, both written and verbal.
  • Ability to speak with all levels of the organization and outside partners.
  • Ability to write routine reports, SOPs, and correspondence.
  • Ability to apply common sense understanding to carry out instructions.
  • A methodical and organized approach to problem-solving.

Qualifications

The ideal candidate must be able to work in an office environment, with moderate noise levels. Must be able to work in a fast-paced, team environment and meet tight deadlines.
