Reports to: Estimator, Purchasing Agent, Detailer, or Operations Manager – Non-Exempt

About the role

The coordinator assists the DFH Estimating, Detailing, and/or Purchasing teams with coordination duties related to project estimating and management.

Responsibilities

  • Provide and maintain document control in Box and Comsense.
  • Assist Estimating & Detailing teams in initial plan review (take-off, phasing, breakouts), data entry into Comsense, generating RFQs, and entering quotes into Comsense.
  • Help procure submittal requirements (gather product data, substitution requests, LEED, manufacturer qualifications, etc.) and coordinate manufacturer-supplied submittals.
  • Assist with tasks related to shop drawings, including drawing door and frame elevations under the supervision of the Detailer; procure manufacturer-supplied shop drawings as necessary.
  • Track submittal deliverable dates and ensure they are met.
  • Maintain project to-do and issues list; report on progress to manager.
  • Manage vendor or customer tasks/issues under the guidance of the manager.
  • Coordinate alongside the Purchasing Department to procure, expedite, and track materials, backorders, shortages, breakage, quality, and warranty items.
  • Support procurement and delivery of project closeout documents, O&Ms, warranties, etc.
  • Coordinate field-related issues between customers and manufacturers/suppliers and vendors.
  • Perform other duties as assigned; responsibilities may change at any time with or without notice.

Qualifications

  • High School Diploma or equivalent, or at least 2 years in an administrative or coordinator role in the construction industry.
  • Experience assisting multiple teams.
  • Strong written and verbal communication skills.
  • Strong prioritization and organizational skills; detail-oriented.
  • Proficiency in MS Office Suite applications (Excel, Word, PowerPoint).
  • Ability to work in a fast-paced environment with multiple team members.
  • Self-motivated and open to feedback; flexible to change.
  • Customer service skills: demonstrates commitment to outstanding service for both internal and external customers, takes ownership to resolve problems, listens well, asks clarifying questions, and follows up in a timely manner.
  • Strong sense of accountability and ability to create personal connections with customers.
  • Positive attitude.

Preferred Qualifications

  • College degree with coursework in a technical area.
  • 2 years of construction industry experience in an administrative role (e.g., Project Coordinator).
  • Experience responding to customer and/or vendor concerns.
  • Experience in construction coordination and closeout.
  • Experience providing contractor or vendor support.
  • Ability to read plans and specifications.
