About the role
The Development Coordinator provides general support to Development and Alumni Relations (DAR) operations and works under the direction of DAR staff to ensure programs, projects, and initiatives are appropriately supported. This role is pivotal for the development team and essential to our continued fundraising success. The Development Coordinator frequently interacts with potential and current donors and sets the tone for their interactions with the development office.
Responsibilities
- Support processing of team information and data management.
- Enter, retrieve, and maintain data stored in development database (CRM).
- Process gifts, pledges, and other donor-related transactions.
- Coordinate gift tracking and database maintenance.
- Enter visit notes, solicitation activity, and link gifts to the appropriate proposal.
- Compile and produce reports.
- Provide administrative support for the DAR team.
- Handle sensitive and confidential information with discretion.
- Proactively maintain a conflict-free electronic calendar for the principal.
- Cover staff portfolios and portfolio assignment transfers.
- Organize meetings and prepare materials.
- Prepare and mail gift acknowledgement letters.
- Draft correspondence.
- Produce a variety of reports and presentations using information from multiple sources.
- Create tables, graphs, and PowerPoint presentations.
- Prepare event briefings for leaders.
- Respond to internal and external constituent inquiries.
- Aid in financial transactions, such as reconciling travel expenses and paying invoices.
- Maintain and monitor operating budgets.
- Assist with the successful execution of events by assisting with planning and day-of management.
- Manage project deadlines and deliverables, following up on outstanding tasks.
- Maintain office filing systems and office equipment inventories.
- Serve as the primary point of contact for the Wilmer Development Office by managing the main phone line and voicemail system, ensuring timely, professional, and accurate responses while directing inquiries to the appropriate team members.
- Manage the shared Wilmer Development email inbox by monitoring incoming communications, triaging requests, responding as appropriate, and coordinating follow-up to ensure efficient and responsive customer service.
- Build and maintain effective working relationships with Wilmer leadership, faculty, administrators, and internal partners by providing administrative support, facilitating communication, and representing the Development Office with professionalism and discretion.
Qualifications
- High school diploma or graduation equivalent.
- Three years related experience.
- Bachelor's degree preferred.
- Experience using a CRM.
- Proficiency in Microsoft Office Suite.
