About the role
The Development Coordinator at Virginia Academy is responsible for managing advancement systems and donor stewardship processes while executing fundraising campaigns, special events, alumni engagement initiatives, and strategic communications that advance the mission of Virginia Academy.
Responsibilities
- Manage donor records, gifts, pledges, acknowledgments, and reporting through Raiser’s Edge NXT.
- Cook up donor stewardship activities, including thank-you letters, recognition programs, and impact reporting.
- Aid in annual giving initiatives, including the Patriot Fund.
- Support endowment fundraising efforts and capital campaigns.
- Prepare donor reports, prospect research, and fundraising analytics.
- Cultivate relationships with donors, grandparents, foundations, and community partners.
- Maintain accurate records of donor interactions and campaign activity.
- Develop and maintain Virginia Academy’s alumni database.
- Coordinate alumni communications and engagement initiatives.
- Organize alumni events, networking opportunities, reunions, and campus visits.
- Highlight alumni success stories through advancement and marketing channels.
- Support the development and growth of Patriot Parent leadership teams.
- Recruit, train, and encourage parent volunteers.
- Cook up volunteer opportunities that support advancement and school initiatives.
- Strengthen relationships between families and the school’s mission.
- Lead and support the planning and execution of major advancement events, including: Patriot Fund initiatives, Boosterthon, Annual Golf Tournament, Gala and fundraising events, Donor appreciation gatherings, Grandparents Day, and Alumni events.
- Help support admissions efforts through campus tours and prospective family engagement.
- Aid in enrollment events and open houses.
- Help communicate the school’s mission, vision, and impact to external audiences.
- Help identify students, faculty, or programs that have benefited from philanthropic support.
- Provide content for annual reports and campaign updates.
- Coordinate with marketing to advertise fundraising events, galas, golf tournaments, auctions, and giving campaigns.
- Help create event invitations, email campaigns, and registration materials.
- Provide sponsorship information and donor recognition content.
- Review and update giving pages, campaign information, and donor recognition pages.
- Collaborate with the Marketing & Communications team to create donor, alumni, and advancement-focused communications.
- Assist with newsletters, annual reports, fundraising appeals, campaign updates, and impact stories.
- Gather stories and testimonials that demonstrate the mission and impact of Virginia Academy.
- Ensure consistent advancement messaging across communication channels.
- Maintain advancement databases and reporting systems.
- Generate reports and dashboards related to fundraising performance, donor retention, and campaign progress.
- Manage gift processing and reconciliation procedures.
- Support budget tracking and advancement project management.
- Afford to develop systems and processes that improve efficiency and donor experience.
- Perform other duties as assigned.
Requirements
- A passion for Christian education.
- Strong organizational, communication skills, and project management skills.
- Demonstrated ability to multitask.
- Demonstrated ability to build meaningful relationships with diverse stakeholders.
- High attention to detail and ability to manage multiple priorities.
- Active member of Community Church or willingness to be an active member.
- Commitment to the mission, values, and Christian worldview of Virginia Academy.
Desired
- 2 years experience in the subject area.
- Event planning and volunteer management experience.
- Knowledge of fundraising best practices and donor stewardship principles.
- Experience working in a Christian school, church, or ministry setting.
- Experience with Raiser’s Edge NXT or similar donor management systems.
- Experience in advancement, fundraising, admissions, nonprofit, or educational environments.
