About the Role
This position provides administrative support for a high-performing and collaborative advancement team under the guidance of the Assistant Athletics Director, Director of Stewardship, Events, and Engagement.
Responsibilities
- Use data from donor database to create requested reports, spreadsheets, and donor correspondence.
- Initiate, schedule and coordinate internal and external meetings for the CU Athletics/Buff Club advancement team.
- Prepare and distribute various administrative materials including financial and administrative reports and personal letters of invitation, thanks, explanation, information, and cultivation.
- Monitor and record donations and event payments.
- Process donor checks and gifts.
- Process and route documentation for fund and vendor agreements.
- Provide event support and preparation as necessary.
- Proactively engage with the division’s Administrative Team (A-Team) and attend scheduled meetings.
- Assistance with special projects.
Donor Cultivation and Stewardship Support
- Be a donor-facing representative of the Buff Club, building key relationships with Buff Club constituents through personalized engagement and ongoing stewardship support.
- Conduct preliminary research on prospective donors and assist in identifying, cultivating, soliciting, and stewarding donors through research of available databases.
- Update donor database with notes, strategic plans, contact reports, and tasks to ensure the most current and relevant information is available.
- Receive and respond to donor/constituent inquiries in a timely and professional manner.
- Prepare comprehensive briefing reports to be used for stewardship activations.
- Track and submit engagement data for all Buff Club and Alumni C Club activities, serving as a liaison to the Advancement SEAL Team to ensure University Advancement engagement goals are met.
- Support the planning and execution of donor events, including logistics coordination, on-site staffing, and post-event follow-up.
- Support the execution of the Buff Club acknowledgment program, including regular generation of gift fund reports, mailed collateral, and personalized stewardship for donors at all giving levels.
- Aid in the preparation and distribution of donor impact reports to communicate the effect of philanthropic support to Buff Club constituents across all giving levels.
Office Management
- Answer and direct phone calls; screen phone messages and distribute/follow-up as necessary.
- Receive, process and distribute unit mail/inter-office correspondence.
- Prepare and submit expense reports; prepare purchase requisitions for various office needs; maintain office supply inventory.
- Be a liaison between the Buff Club advancement team and various internal and external constituents.
- Research and capture information on various topics as necessary and expedite the flow of information to staff.
What You Should Know
- This position is working on-campus.
- This position will occasionally be required to work evenings/weekends.
What We Can Offer
- The salary range for this position is $55,000 - $65,000 annually.

What We Require
- A Bachelor’s degree or equivalent experience may substitute on a year for year basis.
- 1+ years of direct work experience.

What We Would Like You To Have
- Experience in or understanding of a non-profit or higher education environment.
- Experience working in customer service and/or an operations oriented role.
- Experience with Adobe Creative Suite applications, including Photoshop, Illustrator, and InDesign, with the ability to support the creation of donor-facing materials and communications.
- Experience using Microsoft Office products, donor tracking software (Salesforce/BSR Advance), Zoom, Teams, LinkedIn, DocuSign, Marketplace, Concur, Paciolan.
