Development and Engagement Coordinator (Part-time)

Specific Responsibilities

  • Assist the Executive Director with implementing fundraising and development initiatives.
  • Support donor cultivation, stewardship, and recognition activities.
  • Prepare donor acknowledgment letters, reports, and fundraising materials.
  • Conduct donor and sponsor prospect research.
  • Help coordinate donor meetings, sponsorship opportunities, and follow-up communications.
  • Provide administrative support for grant applications and reporting.
  • Maintain and update donor, sponsor, and prospect records within the Museum's CRM/database.
  • Track gifts, sponsorships, pledges, and fundraising activities.
  • Generate donor and fundraising reports as needed.
  • Ensure data accuracy and integrity across all development records.
  • Support mailing lists, donor segmentation, and campaign administration.
  • Cook up logistics for artist talks, educational programs, events, and community gatherings.
  • Serve as a liaison for artists regarding schedules, contracts, and event details.
  • Manage event timelines, registrations, invitations, and attendee communications.

  • Coordinate vendors, volunteers, and event partners to ensure successful execution of programs and events.
  • Provide on-site support during Museum events, including occasional evenings and weekends.

Community and Donor Engagement

  • Build and maintain positive relationships with donors, members, artists, visitors, volunteers, and community partners.
  • Strategically support the Executive Director in tracking development goals and fundraising activities.
  • Contribute ideas for improving donor engagement, membership growth, and event effectiveness.
  • Aid in special projects and strategic initiatives that advance the Museum's mission and long-term sustainability.

Qualifications

  • Bachelor's degree is preferred or equivalent combination of education and experience.
  • One to three years of experience in nonprofit administration, arts administration, event coordination, customer relations, fundraising support, or a related field preferred.
  • Experience with databases, CRM platforms, or membership systems is desirable.
  • Demonstrated ability to organize projects and manage administrative details effectively.
  • Interest in visual arts, museums, and community engagement strongly preferred.
  • Ability to maintain confidentiality and exercise sound judgment.
