Development and Communications Coordinator
Job Summary
The Development & Communications Coordinator (DCC) plays a key role in advancing New Settlement’s fundraising and communications strategies. This position focuses on development and communications operations, administration, individual donor engagement, storytelling, and coordination with program staff to support grant writing and site visits.
Job Duties
Systems, Portals & Process Coordination: Set up and maintain development tracking systems, including the master grants calendar, submission deadlines, reporting schedules, and follow-up reminders. Ensure the executive and program teams have a single, reliable view of what's due and when. Manage the donor portal (Classy) and online giving platforms, including keeping constituent records, gift entries, and acknowledgment workflows up to date. Coordinate submission logistics for grant proposals, reports, and renewals — assembling attachments, routing drafts for review, confirming formatting against funder guidelines, and ensuring materials reach funders on time. Maintain funder and donor records in Salesforce, including contact details, engagement history, gift acknowledgements, and task follow-ups. Maintain a central repository of development assets — templates, boilerplate language, logos, program facts, impact data, and past proposals — so the team can move quickly on new opportunities. Help document and refine internal workflows as the team grows and changes, contributing to a more durable development operation over time.
Donor Communications & Fundraising Support: Manage the acknowledgement letter process end to end — generating gift lists, drafting personalized thank-you letters, routing for signature, and ensuring every gift is acknowledged promptly and warmly. Support individual donor engagement on a case-by-case basis, including research on prospective donors, preparing briefings for senior staff and Board, drafting tailored outreach, and following up on specific donor interactions as assigned. Assist with individual donor campaigns (e.g., NYC Marathon, Giving Tuesday, year-end appeal, monthly giving), including list segmentation, drafting appeal copy, and coordinating logistics with vendors and program staff. Support cultivation and stewardship activities for individual, corporate, government, and foundation funders, including preparing materials for senior staff and Board use. Conduct donor and funder research using tools such as DonorSearch, Grants.gov, and Instrumentl. Prepare materials and coordinate logistics for funder site visits. Ensure program narratives are accurate and aligned with funder expectations across all submissions. Support with grant and report preparation as needed.
Digital Engagement, Design & Campaign Support: Responsible for the execution of social media strategies across platforms (Instagram, Facebook, LinkedIn), including designing and scheduling posts, stories, and campaigns. Create promotional materials for digital and print, including flyers, banners, email templates, and signage, maintaining brand consistency across all materials and platforms. Engage with followers and respond to inquiries to build positive online relationships. Update website content regularly, ensuring accuracy and relevance. Maintain brand consistency across all materials and platforms.
Team Collaboration & Meetings: Participate in planning meetings and outreach events. Host regular check-ins with program leads to assess communications needs. Serve as a resource on nonprofit marketing trends and best practices, including the use of AI tools for content generation and design. Other duties as assigned by leadership.
