General Description
The Town of Southwest Ranches is seeking a full-time Deputy Town Clerk to assist the Town Clerk in various administrative and technical duties. These include records management, agenda preparation, elections support, drafting official documents, providing customer service, and ensuring compliance with legal notice and advertising requirements.
Essential Functions
- Prepares ordinances, resolutions, and other official documents to be executed, recorded, and distributed.
- Maintains and updates the Municipal Code.
- Advises departments of deadlines and prepares public notification of official activities and meetings.
- Responds to requests for information from the public, staff, other municipalities, and state offices.
- Affixes seal to applicable Town documents in the absence of the Town Clerk.
- Attends all Town Council meetings for technical assistance and performs duties of the Town Clerk in their absence.
- Records meetings and prepares summary minutes for meetings attended.
- Performs general office duties such as transcribing audio for official minutes, proofreading correspondence, distributing and filing official forms, and other administrative tasks.
- Operates a variety of technical equipment including presentation systems and audio recording systems.
- Assists with the operation of the Town Clerk’s Office central records center, maintaining official public documents according to applicable laws, ordinances, and regulations.
- Assists in administering the records management program and services throughout the Town, consulting with Town departments on records management or electronic records.
- Aids in developing and implementing the departmental budget, ensuring all functions and programs are performed within established budgetary parameters, including cost control activities, monitoring revenue and expenditures, and ensuring sound fiscal control.
Minimum Qualifications
- Education and Experience: Associate’s degree is required, with a Bachelor’s degree in Business or Public Administration or a related field preferred. Three (3) years of municipal government experience are required.
- Certifications: Certified Municipal Clerk designation is desired and may substitute for a portion of required education and experience. Must obtain and maintain a Florida Public Notary Commission.
Knowledge, Abilities, and Skills
- Excellent oral and written communication and customer service skills.
- Knowledge of standard office practices, procedures, equipment, and office assistance techniques.
- Working knowledge of Microsoft software including Word, Excel, and PowerPoint.
- Ability to serve the public and fellow employees with honesty and integrity in accordance with the Town’s Ethics and Conflict of Interest policies.
- Establish and maintain effective working relationships with the general public, coworkers, elected and appointed officials, and members of a diverse cultural and linguistic backgrounds.
- Bilingual Preferred.
Physical Skills
- Acceptable eyesight, hearing, with/without correction, and the ability to communicate effectively both orally and in-writing.
- Reaching, pulling, pushing, walking, standing, sitting, kneeling, bending, and lifting materials of 5 – 20 pounds.
Environmental Conditions
- Work is performed in usual office conditions with a limited rare exposure to disagreeable environmental factors.

Salary Range
$56,430.40 - $90,272.00 DOQ.
