About the role
The Deputy City Clerk supports the City Clerk's office, handling administrative functions such as record maintenance, licensing, elections, cemetery administration, and official actions in the absence of the City Clerk. This role also involves assisting other staff and the public with inquiries about City operations, services, ordinances, events, and other information.
Responsibilities
- Assumes functions and responsibilities of the City Clerk in the City Clerk’s absence.
- Serves as back-up to the City Clerk for City Council and Urban Renewal Authority meetings.
- Staffs City Council and Urban Renewal Authority meetings as needed; prepares and/or reviews meeting minutes and City Council and Urban Renewal Authority packets.
- Prepares notices for public hearings.
- Staffs Planning Commission, Zoning Board of Appeals, Water and Sewer Board, and Parks and Recreation Advisory Board meetings; prepares meeting minutes and packets.
- Analyzes information/records management needs and develops plans to address these needs.
- Develops and implements records program policies, procedures, and organizational structures.
- Conducts internal reviews of departmental/central records and consults with and trains departments on records management issues.
- Serves as records contact person for State Archives and provides training on the system to city staff.
- Supports liquor licensing and other licenses (Hunting Licenses, Temporary Use Licenses, Animal Licenses).
- Supports and assists City Clerk with election duties, including recruiting and training election staff, responding to inquiries, and processing voter registration and absentee ballots.
- Supports and assists City Clerk with the Colorado Open Records Act requests, cemetery records management, and Administrative Citation Appeal hearings.
- Serves as back-up to the Customer Service Unit and provides administrative assistance to Legal.
- Supports the City Clerk with legal research, drafting, reviewing, and formatting documents.
- Represents the City in meetings with professional organizations, other public agencies, and the public.
- Completes special assignments as requested, including researching, preparing reports, and presenting technical information.
- Serves as Notary Public.
Requirements
- High School diploma or equivalent.
- Equivalent combination of education and experience may be considered.
- 5 years of professional administrative experience.
- Valid Colorado Driver’s License or ability to obtain within six (6) months of hire.
- Certified Municipal Clerk (CMC) designation or ability to obtain CMC certification within four (4) years of employment.
- Bilingual in English and Spanish (preferred).
- Experience in public/municipal sector.
