Job Summary

Responsible for greeting patients, monitoring the waiting area, assisting with patient registration, and performing various clerical tasks including payment processing.

Essential Functions

  • Greets patients, family members, and visitors, determining services and other needs.
  • Maintains the waiting area, addressing patient and visitor needs, and keeping it tidy.
  • Aids new patients in completing registration information, opens medical records, and reviews insurance coverage or eligibility for other programs.
  • Reviews patient documentation to ensure it meets established criteria, collects and processes demographic, financial, and diagnosis/procedure code information with accuracy, and inputs payments and other data into the system.
  • Notifies the Medical Assistant when patients are ready for care, schedules return appointments, and clears messages from the voice mail system.
  • Assists in preparing and maintaining patient charts, retrieving and returning charts at the end of the day, and participating in team/staff meetings.

Nonessential Functions

  • Pulls medical records for scheduled, same-day, or walk-in patients.
  • Answers telephone calls, directs calls to appropriate staff members, and schedules appointments.
  • Communicates with patients, providers, and staff, exchanging and summarizing information accurately and professionally.
  • Participates in team/staff meetings and attends in-service meetings and applicable workshops.

Minimum Qualifications

  • High school diploma or equivalent required.
  • One (1) year of customer service experience in a dental practice setting.
  • Knowledge of dental terminology, procedures, and insurance plans preferred.
  • Experience with electronic health records (EHR), dental practice management software, and standard office applications.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills with the ability to interact professionally with patients, providers, and staff.
  • Ability to maintain patient confidentiality and comply with HIPAA regulations.
  • Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
  • Accurate data entry and attention to detail.
  • Ability to work independently and as part of a team.
  • Basic proficiency in Microsoft Office Suite (Word, Outlook, and Excel).
  • Ability to handle sensitive situations with professionalism, discretion, and empathy.
  • Bilingual skills preferred but not required.

Physical and Mental Demands

  • Remain in a stationary position for approximately 50% of the workday.
  • Demonstrate the ability to cope with workplace stress effectively.
  • Frequently move throughout the office to access file cabinets, office equipment, and other work areas.

  • Operate a computer and other office productivity equipment, including calculators, copiers, and printers.
  • Communicate regularly with patients, staff, and other individuals, exchanging and summarizing information accurately and professionally.

  • Interact appropriately and professionally with colleagues in a variety of situations and for different purposes.
  • Possess the ability to hear and interpret sounds accurately.
  • Communicate effectively through spoken language, including conveying detailed information and instructions clearly, accurately, and in a timely manner.

Compliance

This position requires compliance with Greater Baden Medical Services (Health Center’s) compliance standards, including its Standards of Conduct, Compliance Program, and policies and procedures. Such compliance will be an element considered as part of the Patient Service Representative regular performance evaluation.

Travel

Must be able to drive between Greater Baden Medical Services, Inc. locations as required.
