About the role
As a member of the Martin's Family, the Deduction Representative I researches and analyzes customer deductions for product shortages, damages, pricing, promotions, advertising, or other deductions. You will collect past due invoices by working closely with internal and external customers to resolve routine discrepancies.
Responsibilities
- Collaborate with cash application, credit, sales, and other internal partners to analyze customer deductions, including audits, shortages, promotions, and advertising allowances; resolve issues in a timely manner.
- Reconcile and resolve customer audits.
- Manage standard Oracle deductions such as samples, damages, and fees; create debit and credit memos using receivable and revenue codes as directed by the Accounting Manager.
- Communicate professionally with internal and external customers regarding routine deduction issues via phone, letters, emails, or meetings to collect payment.
- Maintain productive relationships with sales personnel to resolve deduction discrepancies and past due invoices.
- Consistently document analysis and communication using provided technology and best practices.
- Research and resolve aged invoices and unapplied payments.
- Assess the collectability of accounts and escalate identified risks to the AR Supervisor.
- Work with the Deduction team or AR Analyst to formulate recommendations for payment plans and write-offs.
- Provide proper documentation to support write-offs or chargebacks.
- Provide timely and accurate reporting on aging.
- Work with the Cash Application team, AR Analyst, and sales to facilitate timely promotion-end reconciliations for billback promotions.
- Assist with related special projects.
- Maintain electronic files in accordance with standard file-naming conventions.
- Scan and file documents.
Requirements
- High School Diploma or GED.
- Associate's degree (A.A.) or equivalent from a two-year college or technical school; or three to twelve months of related experience and/or training in a general accounting environment; or an equivalent combination of education and experience.
- Ability to read, comprehend, and write instructions, correspondence, and memos.
- Ability to effectively present and communicate information in one-on-one and small group situations.
- Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals.
- Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to identify and solve routine problems using variables in standardized situations.
- Ability to multitask and navigate multiple systems.
- Knowledge of accounting software and Microsoft Excel is a plus.
- Typing and 10-key calculator proficiency required.
- Ability to prioritize multiple tasks and work independently.
- Self-motivated, team-oriented, and detail-focused with strong organizational skills.
