Responsibilities
- Cook up with clients to dispatch necessary forms, lead them through completion necessities, and secure returned signatures in a timely manner.
- Inspect incoming signed documents for completeness and accuracy before forwarding them to the relevant organization contact for processing.
- Keep prompt correspondence by answering client emails and messages within one business day and offering clear, helpful updates.
- Collaborate with colleagues across departments to address client needs and ensure documentation flows smoothly through each phase of the workflow.
- Register and keep track of the receipt of signed forms and related paperwork with meticulous attention to detail and proper file documentation.
- Spot chances to speed up form preparation and submission activities while supporting more efficient and accurate administrative practices.
- Use readily accessible internal expertise and resources to clarify document requirements and assist in smooth client service delivery.
- Assist with supplementary administrative assignments that contribute to team objectives throughout the tax season period.
Requirements
- A bachelor’s degree in Accounting, Finance, or a related field.
- Strong accuracy and attention to detail in data entry and document review tasks.
- Proficiency with Google Workspace, Microsoft Word, and Microsoft Excel & Salesforce (a plus).
- The ability to construct positive client relationships via clear, friendly, and confident communication.
- Strong time management skills with the capability to prioritize and meet deadlines consistently.
- The capacity to operate independently without supervision in a quick-paced environment.
- Prior experience in an office, client service, or administrative setting is preferred.
- Experience with Salesforce, tax-related documentation, or work in a tax firm is a plus.
