CVENT Specialist
Hybrid role (3 days/week onsite in NYC) starting ASAP. 1-year contract with potential to convert to full-time. Must be authorized to work in the U.S. without sponsorship.
About the role
Our client, one of the largest names in global alternative asset management, is seeking a Cvent Platform Specialist to join their Event Technology and Operations team. This associate-level support role focuses on the end-to-end execution of digital event experiences—primarily through Cvent—including registration builds, data management, and fully customized event websites. You will support two Cvent leads and the broader events team, which runs large in-house Apollo events, third-party events, and high-profile sports & entertainment activations.
This is not an event planner role; the ideal candidate supports the events team through platform operations and execution, not event conceptualization or design. The role requires someone hyper-organized, detail-obsessed, and comfortable interfacing directly with senior stakeholders, including executives, while handling fast-moving, last-minute changes.
Responsibilities
- Lead the end-to-end build of event websites in Cvent, from initial design through go-live
- Manage complex registration flows, session paths, and conditional logic tailored to diverse audience segments
- Own and maintain event data integrity across Cvent (and Airtable, if applicable), ensuring consistency and accurate reporting
- Handle real-time event detail changes (e.g., hotel updates, branding edits, welcome page adjustments, capacity changes) and roll them out accurately across the platform
- Translate event goals into functional platform requirements, advising on best practices and creative solutions
- Ensure technical execution aligns with brand and regulatory/compliance standards
- Track engagement data and post-event analytics
- Take direction quickly from multiple stakeholders (Cvent leads, event planners, business/channel marketing teams) and manage competing priorities under tight deadlines
- Proactively anticipate issues (e.g., registration capacity conflicts) before they become problems
- Contribute to documentation, process improvement, and platform innovation initiatives
- Support occasional early morning or evening work to accommodate global audiences
Requirements
- 2-3 years of hands-on experience with Cvent, specifically building registration workflows and fully branded event websites
- Experience owning the full process/lifecycle of an event from a platform/operations perspective (not event planning)
- High attention to detail with a strong track record of accuracy under pressure
- Strong project management skills with the ability to manage multiple priorities under tight deadlines
- Excellent written and verbal communication skills; comfortable interfacing directly with senior executives and presenters
- Highly proactive and autonomous, with a strong sense of ownership and accountability
- Proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook)
- Live, in-person event experience (not purely virtual event background)
- Professional polish and composure, with the ability to represent the team well in front of senior leadership
Preferred Qualifications
- Knowledge of Airtable
- Prior experience in financial services or a regulated corporate environment
- Experience managing multiple simultaneous webinars or virtual sessions
