We are looking for a detail-oriented Customer Service and Logistics Representative to join our team in Virginia. This is a contract-to-hire opportunity ideal for someone who enjoys supporting customers, coordinating orders, and working closely with sales and operations teams to keep business moving efficiently.

Responsibilities

  • Respond to inbound customer questions by phone and email, providing clear information on products, order status, service needs, and general support requests.
  • Enter and process sales orders for parts, attachments, tracks, and warranty-related items, ensuring all details are complete and correct before release.
  • Coordinate with shipping and production teams to support timely fulfillment, communicate estimated delivery dates, and help resolve order-related issues.
  • Supply customers and sales partners with product specifications, measurements, installation materials, brochures, images, and other supporting documentation as needed.
  • Assist with account follow-up activities, including supporting collection efforts on past-due balances and helping maintain accurate customer account information.
  • Facilitate return requests by gathering the necessary details for Return Goods Authorizations and communicating next steps to customers and internal teams.
  • Manage order revisions by documenting updates clearly, attaching supporting change records, and confirming adjustments are reflected accurately throughout the process.
  • Monitor open orders, drop-ship activity, and inbound container status on a regular basis, updating internal notes and escalating outstanding items when needed.

Requirements

  • At least 1 year of experience in order entry, logistics support, supply chain, or a related administrative role OR past experience in medical billing or medical data entry.
  • Background handling inbound customer communications in a fast-paced service environment.
  • Ability to process orders accurately and maintain detailed records with strong attention to detail.
  • Comfortable working with customers, sales staff, and operations teams to resolve questions and keep work moving efficiently.
  • Strong verbal and written communication skills with a detail-oriented and customer-focused approach.
  • Ability to manage multiple priorities, meet deadlines, and follow through on open items consistently.
  • Proficiency with standard office and business systems used for order tracking, communication, and documentation.
