Cosmetic Coordinator - Dermatology + Plastic Surgery

Responsibilities

  • Answers incoming cosmetic phone line calls.
  • Schedules all cosmetic appointments (consultations and procedures).
  • Prep cosmetic encounters for upcoming appointments with correct codes, cost, and discounts.
  • Tasks charts for review weekly to providers that oversee procedures.
  • Participating and planning cosmetic open house events.
  • Managing monthly reports (revenue, procedures, and consultation conversion and product sales).
  • Completes tasks in EMA in a timely manner with patients' questions, concerns or scheduling needs.
  • Overseeing the schedule for the cosmetic provider: reschedule, cancel procedures, and adjusts schedules.
  • Monitor openings on the schedule and attempt to fill with specials or conversion.
  • Working with the clinical team on messages and prior authorizations for prescriptions.
  • Create and manage cosmetic procedures monthly by collecting prepayments.
  • Manage monthly cosmetic vs dermatology reports to track an increase in percent cosmetic.
  • Organization and tracking of staff treatments.
  • Product knowledge on the SkinCeuticals line.

Qualifications

  • High School diploma is required.
  • 1+ years of recent office experience is preferred.
  • Dermatology experience preferred.
  • Medical Assistant experience preferred.
  • Must be detail oriented.
  • Must have excellent communication skills and the ability to communicate effectively orally and in writing.
  • Demonstrated leadership experience.
  • Must be able to demonstrate leadership by serving as an example to others with regard to professional behavior, handling multiple tasks, maintaining a positive attitude, and in response to organizational change.
  • Proficiency with Microsoft Word, Excel and PowerPoint is required.
  • Must be able to learn new software quickly.
  • Possess excellent leadership, organizational, and computer skills.
  • Able to work effectively and cooperatively with staff, board, clients, and the public.
  • Able to multi-task, prioritize appropriately, and work well both individually and as part of a team.
  • Able to use time productively and contribute to high levels of company operational efficiency and effectiveness.
  • Able to maintain confidentiality of information.
