Responsibilities
- Answers incoming cosmetic phone line calls.
- Schedules all cosmetic appointments (consultations and procedures).
- Prep cosmetic encounters for upcoming appointments with correct codes, cost, and discounts.
- Tasks charts for review weekly to providers that oversee procedures.
- Participating and planning cosmetic open house events.
- Managing monthly reports (revenue, procedures, and consultation conversion and product sales).
- Completes tasks in EMA in a timely manner with patients' questions, concerns or scheduling needs.
- Overseeing the schedule for the cosmetic provider: reschedule, cancel procedures, and adjusts schedules.
- Monitor openings on the schedule and attempt to fill with specials or conversion.
- Working with the clinical team on messages and prior authorizations for prescriptions.
- Create and manage cosmetic procedures monthly by collecting prepayments.
- Manage monthly cosmetic vs dermatology reports to track an increase in percent cosmetic.
- Organization and tracking of staff treatments.
- Product knowledge on the SkinCeuticals line.
Qualifications
- High School diploma is required.
- 1+ years of recent office experience is preferred.
- Dermatology experience preferred.
- Medical Assistant experience preferred.
- Must be detail oriented.
- Must have excellent communication skills and the ability to communicate effectively orally and in writing.
- Demonstrated leadership experience.
- Must be able to demonstrate leadership by serving as an example to others with regard to professional behavior, handling multiple tasks, maintaining a positive attitude, and in response to organizational change.
- Proficiency with Microsoft Word, Excel and PowerPoint is required.
- Must be able to learn new software quickly.
- Possess excellent leadership, organizational, and computer skills.
- Able to work effectively and cooperatively with staff, board, clients, and the public.
- Able to multi-task, prioritize appropriately, and work well both individually and as part of a team.
- Able to use time productively and contribute to high levels of company operational efficiency and effectiveness.
- Able to maintain confidentiality of information.
