About the Role

Positions in this job family are responsible for offender records management and auditing operations at a department facility, probation and parole district office, or Sentence Administration unit. The role ensures all offenders remanded to the custody of the Department of Corrections are confined in accordance with the order of the sentencing court and Oklahoma State Statutes.

Responsibilities

  • Maintains consolidated record cards, legal files, and computer record systems for offenders, including time served, sequence of sentences, credits earned/granted/lost, jail time, warrants, detainers, misconduct reports, offender movement histories, job assignments, and related information.
  • Calculates time served and credits earned; distributes monthly reports to offenders.
  • Monitors discharges, rebills of sentences, and projected release dates.
  • Audits offender files to ensure proper contents and accuracy of time calculations.
  • Reviews and handles legal mail related to certified judgments, jail time statements, detainers, and court sentence modifications.
  • Processes offender transfers, receptions, discharges, paroles, and sentence rebills.
  • Monitors and reports daily inmate counts.
  • Contacts law enforcement agencies, court officials, attorneys, state/federal agencies, offenders, families, and the public regarding offender locations, sentences, credits, release dates, misconduct reports, and related information.
  • Prepares extradition paperwork and processes Interstate Agreement of Detainers paperwork.
  • Testifies in court regarding records-related matters.
  • Supervises clerical staff in maintaining offender files, filing escape charges, chairing misconduct hearings, monitoring parole processes, and transferring/closing files.
  • Performs audits of offender time credits to ensure accurate release dates and corrects discrepancies.
  • Reviews offender files for proper documentation, sequence, and photo quality.
  • Provides records management training to departmental and private prison personnel.

Requirements

  • Knowledge of policies, procedures, and laws governing court-ordered sentences and related records.
  • Knowledge of mathematical computations and criminal justice system operations, including corrections.
  • Ability to gather and organize information from documented sources.
  • Ability to multitask and comprehend policies, procedures, manuals, statutes, and regulations.
  • Ability to communicate decisions and maintain effective working relationships.

Qualifications

Requires a bachelor’s degree and one year of professional or technical administrative experience in business/public administration, correctional records management, or social casework involving offender classification, assignment, or supervision. Technical administrative experience includes highly complex clerical work under direct supervision of a professional supervisor or manager. An equivalent combination of education and experience may substitute.

Pay

$46,664.80 per year.
