Job Responsibilities

  • Greet and assist all visitors, employees, and stakeholders in a professional, friendly, and branded manner.
  • Manage visitor check-in procedures and coordinate with building security (Prudential Center) as needed.
  • Learn essential aspects of business operations and provide support to various internal departments as needed.
  • Maintain positive and professional relationships with vendors and merchants.
  • Prepare conference rooms for meetings and events by arranging furniture, restocking supplies, cleaning whiteboards, and ensuring all AV/tech equipment functions properly.
  • Report and escalate issues as needed.
  • Manage and maintain office supplies inventory by checking stock levels, implementing re-ordering processes, and coordinating with vendors.
  • Cookout all outbound shipping using FedEx, UPS, USPS, and DHL, ensuring proper labeling, cost-effective service selection, and timely dispatch.
  • Receive and document inbound packages; distribute or store items and maintain accurate logs.
  • Monitor and manage the office’s water supply, coordinate vendor deliveries and address service issues promptly.
  • Ensure the reception area, kitchens, and shared spaces are clean and stocked; coordinate janitorial efforts and recycling initiatives.
  • Demonstrate a strong commitment to supporting others in a fast-paced environment.
  • Interact effectively with guests and stakeholders using tact and diplomacy.
  • Exercise sound judgment, problem-solving, and follow-through on tasks.
  • Perform other projects and duties as assigned.

Qualifications

  • Minimum 2 years of experience in an administrative or office-support role.
  • Strong interpersonal and written communication skills.
  • Highly organized and able to multitask in a fast-paced environment.
  • Intermediate proficiency in Microsoft Office (Outlook, Word, Excel, Teams).
  • Bilingual (English/Spanish) is a must.
  • Prior experience supporting executive offices or corporate headquarters preferred.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
