About the role
We are actively seeking a Corporate Housing Associate to assist the Arthrex Facilities team with all aspects of the rapidly growing Corporate Housing Program provided to new, existing, and intern employees.
Responsibilities
- Manage all corporate housing for employees, new employees, and internship employees.
- Support Facilities Manager with incidentals relating to corporate housing and campus responsibilities as needed.
- Prepare contracts and leases for each corporate housing unit for review by Legal, HR, and AP departments.
- Monitor and accept monthly rental payments of all units and report financial info back to Human Resources.
- Maintain files for each property including photos, contacts, and inventory.
- Maintain daily and monthly logs for management statistics.
- Coordinate tenant approval process with property owner and/or Management Company to establish new tenant set-up.
- Provide tenants with an “arrival” folder containing all information needed including but not limited to codes/keys, contact information, cable and internet information, trash collection schedule, unit keys, mailbox keys, and garage door openers if applicable.
- Conduct inventory inspection upon tenant’s departure/walk-throughs.
- Schedule repairs and cleaning when each tenant moves out as well as routine weekly cleaning.
- Replenish inventory as needed prior to arrival of new tenant.
- Schedule preventive maintenance.
- Maintain accurate inventory of Corporate Housing supplies, housewares, accessories, and furniture within the units and in storage units.
- Assist with inventory replenishing and inspections upon arrival and departure of residents.
- Accept deliveries of supplies, housewares, and furniture; match packing slips with purchase orders and provide order receiving information to the facilities accounting department.
- Coordinate resolutions for receipt of apartment/unit condition forms as necessary.
- Transport inventory to all inventory locations/units.
- Maintain cleanliness of all inventory areas.
- Refuel and prep corporate housing vehicles.
- Meet with and escort contractors and vendors as needed.
- Meet with residents as needed.
- Provide photo evidence of any damages prior to arrival—furniture, appliance, structures of all units.
- Assist with vacant unit inspections.
- Work with Specialist and Lead to continue the process of standardizing product and inventory.
- Continuous improvement of inventory management—unit uniformity, consistency of inventory flow.
- Assist in administrative duties as assigned by Specialist and Lead.
- Assist Facilities Team with campus responsibilities as needed.
Requirements
- High School diploma or equivalent required.
- 1 year of prior experience in a similar environment is required.
- Basic office experience.
- Ability to lift and move heavy items up to 50lbs on a daily basis.
- Must have the ability to safely operate company vehicles.
- Basic Microsoft Excel, PowerPoint, and Word skills.
- Good organizational skills.
- Problem-solving skills with high attention to detail.
- Strong time management, organizational, interpersonal, and communication skills.
- Ability to follow detailed instructions.
- Travel to all Corporate Housing locations from campus is required.
- Availability during evenings and weekends is required for select tasks and emergencies.
