About the Role

The Equipment and Setup Coordinator II assists with the logistical management of event spaces across multiple venues at Utah State University, including the Taggart Student Center, Eccles Conference Center, University Inn (5th Floor), David B. Haight Center, West Stadium Center, Spectrum, and other indoor and outdoor spaces. This role involves setting up and striking event equipment such as chairs, tables, stages, and other related items, as well as cleaning and maintaining event spaces to ensure a healthy, safe, and functional environment. The incumbent works as part of a team and may train and lead hourly employees.

Responsibilities

  • Event Setup and Strike
    • Operate mid-sized to large moving trucks to transport event equipment and materials.
    • Coordinate customer needs with the coordination team to ensure accurate and timely venue and equipment setup.
    • Confirm event space cleanliness and order accuracy before and after setup.
    • Communicate with event stakeholders at a high level.
    • Read and follow setup maps and instructions.
    • Coordinate change orders with the coordination team.
    • Transport equipment and supplies between storage and event locations.
    • Organize and assemble setup equipment (e.g., chairs, tables, stages, pipe & drape, podiums).
    • Remove unnecessary equipment from event spaces.
    • Inventory, inspect, and clean equipment after events, checking for damage.
    • Adhere to policies and procedures, including event tracking and project fulfillment.
  • Event Setup Planning
    • Review daily and weekly setup schedules for accuracy.
    • Attend weekly coordination meetings as assigned.
    • Create setup maps under the direction of the Equipment and Services Coordinator.
    • Attend planning meetings with customers and Program Coordinators as assigned.
  • Other Specific Functions
    • Safely back pickup trucks and large trailers into tight spaces using complex maneuvers.
    • Load and unload event-related equipment, ensuring proper padding and straps to prevent injury or damage.
    • Operate mechanical tailgates and lifts to facilitate loading and unloading.
    • Supervise hourly employees to accomplish setup tasks.
    • Assist with training hourly employees and execute the training strategy of the Team Leader/Supervisor.
    • Clean and prepare event spaces, including floors, walls, tables, and chairs.
    • Remove debris from trash receptacles and maintain clean liners.
  • General Functions
    • Participate in trainings.
    • Provide directions and assistance to guests, customers, students, and employees.
    • Promote continuous improvement of environmental and safety practices.
    • Follow and initiate department and venue procedures during injuries, emergencies, or evacuations.
    • Adhere to all campus and building policies and procedures.
    • Perform additional functions as assigned by the Equipment and Services Coordinator.

Requirements

  • Minimum of two years of experience or an associate degree/vocational training.

Skills

  • Knowledge of methods to set up and strike event-related equipment (e.g., chairs, tables, stages).
  • Ability to learn about and care for event-related equipment.
  • Proficiency with computers and programs, including Microsoft Word and Excel.
  • Ability to hook, pull, and back a trailer.
  • Ability to receive regular direction and coaching from supervisors or managers.
  • Ability to learn through training, observation, and hands-on experience.
  • Ability to perform tasks without close supervision.
  • Ability to work well under pressure and meet multiple, sometimes conflicting deadlines.
  • Flexibility to work varied hours as needed.
  • Ability to train and lead hourly and/or student employees.
  • Knowledge of proper cleaning methods and standards.
  • Safe utilization of cleaning supplies and equipment.
  • Ability to assist with snow removal as required.
  • Understanding of chemical cleaning applications and methods.
  • Detail-oriented with strong organizational skills.
  • Professional demeanor with coworkers and customers.
  • Ability to reflect a positive Utah State University image.
  • Strong customer service skills, including resolving customer concerns.
  • Knowledge of safe work practices and ability to follow safety procedures.

Pay

Salary commensurate with experience.

Physical Requirements

This position requires moderate physical effort, including lifting up to 25 pounds, walking, and standing. Employees must adhere to safety precautions and may be required to use protective equipment.
